Brief Description

Job Summary

Under regular direction and in compliance with standard operating procedures and policies, coordinates Unity Park Welcome Center event space rentals, fields inbound sales requests, and acts as a point of contact for special event clients and vendors. Ensures Welcome Center is properly maintained, as well as, setup and breakdown of tables, chairs, equipment, and supplies as needed. Assists in leading and coordinating seasonal and temporary personnel and volunteers. Provides outstanding customer service with the public on the phone, via email and in-person at the Welcome Center. Distributes information and provides directions for Unity Park, Swamp Rabbit Trail, and Greenville parks system. Connects with neighborhood associations, non-profit agencies, and organizations to foster community involvement and provide critical feedback to City management. Maintains and implements City safety protocols and procedures as required. Conducts tours and site visits of the Welcome Center and Unity Park to potential clients. Tracks and maintains participant and program records as needed. Works a flexible schedule that varies as needed for booked rentals.

  • Serve as Liaison for Unity Park: Act as a point of contact for the Welcome Center. Coordinate event logistics, including load-in, setup, execution and breakdown of events. Serve as key resource for center calendar, capacities, and fees. Provide excellent customer service by greeting park visitors, answering questions, and providing information about Unity Park, Swamp Rabbit Trail, and Greenville park system. Distribute information to visitors, including maps, brochures and general information. Respond to visitor questions, comments and suggestions via phone calls and emails. Provide directions and resolve minor issues; escalate complex issues as needed. Conduct tours and site visits of the Welcome Center and Unity Park to potential clients. Assist with programming of events at Unity Park and Prisma Health Welcome Center. Monitor and evaluate program effectiveness, recommend changes and implement management decisions. Assist in training, leading, and coordinating seasonal and temporary personnel and volunteers in the performance of shared responsibilities. As needed, participate in the interviewing and selection process for seasonal and temporary personnel and volunteers. May be responsible for handling or processing of program payments and monitoring nominal expenditures.

  • Monitor & Inspect Facilities: Monitor and inspect the Welcome Center, park facilities and associated equipment for safety and security. Ensure that equipment is inventoried and maintained on a regular basis. Notify maintenance personnel as needed for facility or equipment repairs. Assist in monitoring and administering public property programs, including event permits and Unity Park encroachments. Setup and breakdown event and center supplies and equipment as well tables and chairs.

  • Serve as a Liaison: Serve as a liaison and resource for the public, businesses, permit holders, City departments, as well as other outside organizations and stakeholders. Perform community outreach to promote Unity Park, the Welcome Center and events, and stimulate interest in City offerings. Develop and maintain a positive relationship between clients, vendors and the City. Receive and respond to questions and concerns from the community. Identify potential issues and resolve problems within level of authority referring to supervisor as appropriate.

  • Maintain Records: Track and maintain event inquiries, site visits and reservations., records of daily Welcome Center drop-in participants, facility rentals, etc. Collect event & vendor documents for assigned events. Maintain Welcome Center portfolio by requesting images from past clients and photographers. Prepare and summarize data for quarterly and yearly reports as needed. As needed, assist in the collection of data in support of departmental budget reports.

Qualifications

Job Requirements

  • Associate degree in event management, parks and recreation management, or a related field.
  • Over one (1) year of experience in recreation programming, event coordination, facilities management, and/or customer service.
  • Any equivalent combination of directly related education, training, and experience with progressive responsibility in recreation, event coordination, facilities management, or a related field will be considered.

Preferred Qualifications

  • Bachelor’s degree in recreation or a related field.

Driver’s License Requirements

  • Valid South Carolina Class D Driver’s License.

  • Operate department equipment to include, hand trucks, utility vehicles, and vehicles.
  • Operate general office equipment to include scanner, printer, copier, telephone, and computer with Microsoft Office Suite.
  • Utilize software and systems to include venue layout software.

Working Conditions

Primary Work Location: Welcome Center and outdoor park areas.

Physical Demands:

Constantly requires hearing, vision, talking, carrying, and pushing/pulling. Frequently requires fine dexterity, handling/grasping, reaching, twisting, sitting, standing, and walking. Occasionally requires lifting, bending, climbing, crouching/stooping, kneeling, balancing, and foot controls. Moderate strength demands include constantly exerting up to 10 pounds, frequently exerting up to 20 pounds, and occasionally exerting 20-50 pounds.

Mental Demands:

Constantly requires performing multiple tasks simultaneously, working an irregular schedule/overtime, and working closely with others as part of a team.
