Job Description:

REGISTRATION & DROP/ADD. Assist the registrar in coordinating the drop/add period for law school classes; assist in registering students selected for departmentally controlled classes, such as clinics, externships, and teaching assistant courses for Legal Writing and Trial Advocacy; assist in advising and counseling students regarding holds which would prevent them from registering; assist the registrar in assisting the joint degree students with the registration process as they are often registering for classes in two programs; assist transfer and transient students with registration issues; and assist in processing drop/add forms submitted to the Student Affairs Office.

REGISTRATION PREPARATION. Assist the Registrar in entering each class into OneUF (University of Florida) by working with the main campus Registrar’s Office; assist the registrar in ensuring that prerequisites for each class are correct and that only law students (Juris Doctor (J.D.) and Master of Laws (LL.M)), are enrolling in law classes unless approved by the Associate Dean for Student Affairs; assist in posting the updated versions of the class schedule to the law school web page.

RECORDS. Assist the registrar in ensuring the integrity and security of student academic records for J.D. and LL.M students.

EXAM SCHEDULING, COLLECTION, & EXAMSOFT COORDINATION. Assist the registrar in requesting information from faculty regarding the type of final exam, length of exam, and assistance needed from the Student Affairs Office; assist in creating and providing the Law School Technology Department and Student Affairs Office with a copy of the schedule for the two week exam period; assist in posting updated versions of the exam schedule to the law school web page; coordinate and assist with the distribution and collection of final exams; assist in creating and providing the appropriate class and student files to create templates for ExamSoft; participate in the Technology Department training sessions held each fall Term on the use of ExamSoft; print final exam answers.

ADVISING/COUNSELING. Assist the registrar in advising students and counseling regarding registration and exam matters; assist in advising and providing faculty information about access class rolls, grade curve information for classes, and exam procedures; assist in advising students of the degree application deadline for graduation purposes; advise students wishing to withdraw of the steps necessary to complete the process; and advise the Associate Dean for Student Affairs of relevant issues that arise with students regarding withdrawals, grade changes, and graduation requirements.

DEAN’S CERTIFICATES. Assist the registrar in completing and submitting the dean’s certification forms for any state Board of Bar Examiners. Assist in preparing other necessary correspondence for bar certification.

GRADUATION. Assist the registrar in completing the review of the Student Academic Support System (SASS) audit for certifying graduates; notify any law student who fails to meet the graduation requirements; and assist the Student Affairs Office manager (when needed) at the graduation ceremony.

OUTGOING/INCOMING TRANSFER/TRANSIENT STUDENTS. Assist the registrar in preparing documentation for transfer credits to be applied to the UF academic record; assist incoming transfer students with registration for classes; process transcripts of credits returning to UF for law students who participate in other programs or visit other law schools.

OTHER TERMLY DUTIES. Assist the registrar with assisting College of Law (CoL) Committees (such as the Academic Standards and Curriculum Committees) with reports requested to complete the committee charge; provide the Associate Dean for Student Affairs with reports regarding graduates, probation, exclusions, final exam numbers, grade curve information, credit hours, and currently enrolled students. Perform other records-related functions that may arise. Perform other duties as assigned.

Advertised Salary:

$21.50 per hour commensurate with experience

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.
