URM Stores, Inc. is looking for Truck Shop Administrative Assistant with amazing data entry skills to provide world-class support to our Truck shop team. This is an on-site position, which performs work in general administration including record-keeping, file maintenance, and purchase order management.

Your Day-to-Day:

  • Process submitted Department Purchase Requests for conversion into Purchase Orders and submission to the respective vendor.
  • Collect and track received Bills of Lading and Packing Slips of received items by the Department back against Department Purchase Orders submitted to vendors.
  • Receive Department invoices, verify payment readiness, code invoices appropriately, route invoices for approval and payment, tracking the invoice through the entirety of the process.
  • Track invoiced costs against purchase orders sent and verify billed amounts match agreed upon costs. Work with the vendor to address invoiced discrepancies.
  • Using a Continual Improvement methodology, continually drive processes and toolset improvements into team.
  • Maintain vendor information to include, but is not limited to, vendor name, contact name(s), contact phone number(s), contact email(s), account number(s), etc.
  • Assist Shop Manager with special projects as assigned.
  • Other Duties and Responsibilities as assigned.
  • Schedule for this position will be Monday – Friday with eight (8) hour shifts, some flexibility on the times. Training schedule could differ.

Ideal Candidate Profile:

  • Have a strong administration background – ideally within the trucking/DOT industry.
  • Have a high level of Data Entry experience and Accuracy.
  • Excellent interpersonal communication skills and ability to interact and relate to individuals at all levels and positions within the organization and external parties involved with our business.
  • Detail Oriented: communications, forms, and processes are completed accurately and free from errors.
  • Positive attitude: willingness and ability to contribute to a positive work environment.
  • High level of integrity, ethics, and dependability with a strong sense of urgency and results.
