SUMMARY: Responsible for receiving and parts and materials into the transportation garage, maintaining inventory records, and dispensing the parts and materials to mechanics in the facility. Directly responsible for transacting parts and materials into the department database when receiving parts from vendors. The parts clerk also records materials and parts out of the system when they are transferred to the repair areas. Works with all shop personnel, including all mechanics, shop clerk and the Fleet Operations Supervisor. Parts and materials may be expensive and/or hazardous in some cases.

  • Maintains a perpetual bin-maintenance inventory system and assists with annual physical inventory.
  • Inspects, stocks and posts incoming orders.
  • Assists in preparing for and performing annual parts inventory.
  • Assists in returning parts in a timely manner.
  • Helps maintain the professional orderly appearance of the parts department, ensuring the work area is clean, safe, and uncluttered.
  • Ensures the cleanliness of the parts department by disposing of used boxes and trash, sweeping floors and wiping parts bins and shelves daily.
  • Helps with stocking and posting orders when they arrive to expedite the delivery to shop mechanics.
  • Ensures that areas of the parts department are properly stocked.
  • Assists the shop clerk in creating and accounting for all core shipments back to the manufacturer when parts have been replaced.
  • Frequently conducts a visually inspection to check that all tools and equipment are functioning properly and safely. Reports any damaged or lost tools and equipment as trained.
  • Maintains system for receiving, storing, tracking, and returning warranty parts for shipping or scrap.
  • Responsible for shipping warranty parts on a timely basis.
  • Assists in coordinating pick up or delivery of parts and materials from vendors. When needed, will pick up parts from vendors.
  • Verifies that invoices accurately match purchase orders for each delivery.
  • Counts or weighs parts to check quantity accuracy of certain orders.

  • Keeps and files accurate logs of daily deliveries and pick-ups. Signs delivery receipts.
  • Delivers parts to the white fleet shop and other repair bays when needed and distributes parts to appropriate mechanics.
  • Ensures that daily parts are stored appropriately and not left unaccounted for in common areas.
  • Checks with Fleet Operations Supervisor or shop clerk before leaving to coordinate any last-minute orders or pick-ups.
  • Observes safety and security procedures; Determines appropriate action beyond guidelines. Reports potentially unsafe conditions. Uses equipment and materials properly.
  • Performs other duties as assigned.

This job has no supervisory responsibilities. QUALIFICATIONS
The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE

  • High school diploma or high school equivalency diploma (GED).
  • Minimum of 12 months prior work experience in a parts and/or service environment.
  • Demonstrated proficiency using computer software (Excel, Google Docs)
  • Or an equivalent combination of education, skills, training, and/or experience approved by the Director of Transportation.

WORK ENVIRONMENT

While performing the duties of this job, the employee is frequently exposed to moving mechanical parts and outside weather conditions. The employee is occasionally exposed to hot, cold, windy, wet and/or humid conditions; and fumes or airborne particles. The noise level in the work environment is usually moderately high but may sometimes be very loud.
