Position Description
Advertised Job Summary
The Office of Talent Acquisition is looking for a creative and goal oriented individual to provide professional, administrative support. The individual must be attentive to details and have the ability to multitask and prioritize workflow. This person will sit in the heart of the institution working along with other outstanding talent in the Division of Human Resources to successfully fulfill our recruitment efforts.
The selected candidate will perform the following essential duties in this very important role:
• Provide assistance and administrative support for the Office of Talent Acquisition
• Be a point of contact to assist employees, customers, HR contacts, and college/divisions, and other campuses
• Serve at the front desk greeting customers and answering incoming calls for the entire suite to include Talent Acquisition and Employee Relations
• Manage multiple email accounts and forward emails to the appropriate parties
• Assist applicants in person and via phone with application concerns and issues
• Sort and distribute communications in a timely manner
• Create and update records ensuring accuracy and validity of information
• Schedule and plan meetings and appointments
• Monitor level of supplies and handle shortages
• Resolve office-related malfunctions and respond to requests or issues
• Maintain trusting relationships with suppliers, customers, and colleagues
• Perform duties in the PeopleAdmin ATS such as posting positions, closing positions, reactivating applications
• Assist with the dissemination of the underutilization letters to hiring managers.

Minimum Qualifications
Bachelor’s degree, or high school diploma and 4 years’ work experience that is directly related to the area of employment; or equivalency.
Exceptional customer service and organizational skills required.
Preferred Qualifications
Higher Education experience
Human Resources experience
Experience with Applicant Tracking Systems
Knowledge/Skills/Abilities
Proficiency in the use of Microsoft Office Software (Word, Excel, Access, and Outlook). Knowledge of principles and practices of human resource management. Knowledge of the policies and procedures of the program area of assignment and of agency policies and procedures. Ability to establish and maintain effective working relationships. Ability to make and communicate decisions. Ability to analyze data and present ideas effectively. Ability to communicate effectively. Ability to recognize needs and resources and to recommend and communicate solutions effectively. Excellent verbal and written communications skills and creative problem-solving skills necessary.
