Support Specialist / Investigator

The Office of Judicial Administration is responsible for the efficient administration of all agencies that operate under the direction of the Chief Justice and the Supreme Court. That includes 200 personnel; fiscal management; communication; technology; legal services; intergovernmental relations; services for the trial courts; and support for court boards, commissions, and committees. The Office is headed by Chief Administrative Officer Justin P. Forkner, who reports directly to the Chief Justice of Indiana and serves as the link between the Chief Justice and the agencies of the Court.

Salary: The salary for this position traditionally starts at $47,500 but may be commensurate with education and/or experience.

About The Job:

This position serves as a Support Specialist/Investigator with the Office of Admissions and Continuing Education (ACE), responsible for the preliminary evaluation and processing of applications for admission to the bar and the investigation of potential areas of concern. This position will also assist in the administration and regulation of continuing legal education requirements for judges, attorneys, and mediators and may serve as a point of contact for inquiries and status verifications.

A Day in the Life:

Process and review various types of applications including Admission to the Bar, Admission on Motion, Uniform Bar Examination transfers, and Mediation candidates. Additional responsibilities include, but are not limited to:

  • Conduct character and fitness background investigations including, but not limited to, obtaining criminal history reports, court documents, employment information, academic misconduct records social media searches, credit history reviews, and other relevant documentation.
  • Respond to inquiries made by phone, email, and in-person; provide information professionally and courteously
  • Assist with the administration of the Indiana bar examination and preparations for the admission ceremony
  • It is essential to be regularly at the worksite during regular business hours. In addition, you should available to staff and clients during these regular business hours for discussions and interaction. Your presence at the worksite allows for impromptu meetings which can be difficult to schedule, allows for team interactions, and encourages dialogue on difficult matters
  • Additional responsibilities as assigned

What You’ll Need for Success:

Accredited Associate or Bachelor’s degree in Criminal Science, Paralegal Studies, or related is preferred, and/or three (3) years of investigative, paralegal, education, business or office administration, or related experience; Requirements also include:

  • Experience in criminal or civil investigative work (preferred)
  • Extensive knowledge of Microsoft Excel and Word at an intermediate to advanced level
  • Knowledge of, or ability and willingness to learn ILG Electronic Bar Admission system and SharePoint
  • Excellent verbal communication skills and the ability to interact well with internal/external customers by phone and in person
  • Demonstrated ability to work independently
  • Strong attention to detail
  • Excellent written communication skills
  • Proven ability to exercise discretion in handling confidential information and materials in a professional manner
  • Ability to use and operate a variety of basic office equipment
  • Ability to lift and carry items in excess of 5 pounds
  • Have and maintain a lifestyle that ensures public confidence in the integrity, competence, impartiality and independence of the judiciary.

Must exercise absolute confidentiality, avoid conflicts of interest and the appearance of conflict of interest, and abide by the Employee Handbook and Judicial Code of Conduct. Must be willing to submit to a criminal background check.

Difficulty of Work:

This position requires independent performance, the exercise of judgment and attention to detail. This position must become familiar with Admission & Discipline Rules 9 through 22, to successfully execute assigned duties. Due to cyclical process, will experience periods of high volume.
