NOTE: This is a part-time position funded by the Access to Careers in Advanced Building Technology (ACABT) Grant. Funding is contingent upon the terms of the grant and this position is currently funded through 6/30/2025.

Under general supervision, the Student Services Specialist collaborates with team members in recruitment, enrollment, testing, and retention for various ACABT programs and represents MATC processing admissions applications at high schools and community organizations.

Characteristic Duties and Responsibilities

  • Works with potential students to engage them with the opportunities of the ACABT program. Advises current and prospective ACABT students with academic decisions; career development; provides support service options to address personal, family and social issues.
  • Once ACABT students have registered and begun coursework, the Student Services Specialist works on student retention, helping to find academic and/or other support to help them address the barriers to academic success. Advises students with class selection; assesses test scores; reviews transcript and program plans; registers students in alignment with course availability.
  • Works one-on-one with ACABT students to build rapport, provide referrals to college resources and develop personal goals, provides entry options, curriculum, academic and performance preparation.
  • Focuses on strengthening student persistence, retention, graduation, and overall success. Advises students about program course availability, program changes and availability.
  • Ensures delivery of excellent customer service, including face-to-face, telephone, electronic, and print transactions.
  • Identifies ACABT students in need of career planning, special needs, and counseling; refers applicants to appropriate MATC support services and/or community-based organizations/agencies
  • Work with Building Automated Systems (BAS) faculty to help coach them to build appropriate connections to support students. Provides information about services available to students at MATC; collaborates with admissions, counselors and other professional personnel to monitor referrals and progress.
  • Provides individual and workshop format information on interviewing and job searching. Acts as liaison with community-based organizations/agencies to recruit disadvantaged and minority students.
  • Collaborates with division leaders to ensure delivery of academic advising and career services to current ACABT students and graduates.
  • Collaborates with new ACABT student orientations at MATC; represents MATC at high school orientations and/or functions; provides tours of MATC campuses to prospective student groups.
  • Assists in devising and developing student services procedures; generates and maintains student services reports
  • Represents MATC at advisory boards, public, private, and business committees in the community.
  • Tracks enrollment, reaches out to students after an absence, encourages students to continue from one semester to another, and connects students with available BAS/FMT jobs for which they would be qualified, based on course work toward one of the digital badges or the FMT Pre-apprenticeship.
  • Participates and engages with students in workshops; in-service trainings; student service’s instructional and college steering or success committees; advisory boards; sub committees or educational activities as assigned.
  • Performs other related duties as required for the efficient operations of the division.

Qualifications

Compliance with all state, federal, and accreditation standards/requirements, as well as all MATC policies and procedures.

MINIMUM REQUIRED QUALIFICATIONS:

  • Associate degree in Education, Behavioral Sciences, Business, or Marketing AND at least three (3) years of related experience*

OR:

  • Bachelor’s degree in Education, Behavioral Sciences, Business, or Marketing AND at least one (1) year of related experience*.

*Related experience includes: Occupational experience in the area of recruitment (student or employment) or direct sales and marketing. Basic knowledge of Building Systems/Technology is highly preferredThe purpose of the grant is to provide support to students enrolled in ACABT (Mechanical, HVAC, Plumbing) Programs.

  • Bilingual Spanish/English preferred

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of general entry admissions and enrollment procedures.
  • Knowledge of programs and transfer credit applications.
  • General knowledge of community based organizations/agencies structure and services.
  • Working knowledge of marketing principles to guide behavior and decisions.
  • Excellent organization skills with an ability to prioritize and manage multiple tasks and a variety of demands including coordination of events with multiple teams.
  • Ability to communicate effectively through both oral and written means while projecting an image of high professionalism.
  • Must possess a high caliber of customer services skills in order to establish and maintain effective working relationships with MATC staff, faculty, students, representatives from outside agencies, business community and the general public.
  • Demonstrated ability to work effectively with people of diverse backgrounds and promote a positive working environment.
  • Demonstrated ability to create, structure, and deliver public presentations to a variety of groups.
  • Self-starter with the ability to work independently, and as a team member.
  • Ability to access and disseminate information using computers and proficient knowledge of Microsoft Office Suite including Excel, PowerPoint and Word.
  • Ability to work flexible hours to include evenings and weekends as necessary.
  • Ability to possess a valid Wisconsin driver’s license, vehicle, and proof of auto insurance.

Supplemental Information
Start Date:This position supports the Manufacturing, Construction, and Transportation Division and is available immediately and is a year-round position. This position is funded by the Access to Careers in Advanced Building Technology (ACABT) Grant. Funding is contingent upon the terms of the grant and this position is currently funded through 6/30/2025.Hours/Location:

  • Up to 19 hours per week.
  • Availability during the hours of 8 am – 5 pm with occasional earlier start for some workshops as well as some possible early evening hours.
  • Based out of Oak Creek location but traveling off site to Community Based Organizations (CBOs) is required

Hourly Rate:Salary is listed to the midpoint of the salary range and is based on the 2023/2024 rates and are determined by years of experience credit and internal salary equity.Application Materials:Along with your completed application please upload a resume. HEALTH INSURANCE: MATC offers a choice between two medical insurance plans. See below for plan types:

2- UMR Low Level PPO

Note: All medical plans include Prescription Drug benefits at no additional costs to employees.

DENTAL INSURANCE: MATC offers a traditional group dental plan through Delta Dental.

Annual maximum per covered person is $2,500; plan covers preventive, routine, restoration, and orthodontics for dependents up to age 19.

GROUP TERM LIFE INSURANCE: MATC offers group life insurance benefits through Symetra Provident Insurance with active assignment and is fully paid for by the College. The amount of insurance is $15,000. The benefit is doubled in the event of accidental death.

RETIREMENT BENEFITS: If you are employed for greater than 12 months and meet the minimum hours requirement for participation in the WRS pension system, you will be notified of your eligibility. The College currently pays the full cost of the employer contribution (6.8%), and the employee pays the full part of the employee contribution of 6.8% of salary. There is a five year vesting period requirement in order to qualify for any employer contributions made on the employee’s behalf.

FLEXIBLE SPENDING PLANS: MATC offers eligible employees the opportunity to participate in both Health Care and Dependent Care flexible spending accounts administered through UMR.

SICK LEAVE BENEFITS: Sick leave is earned based on one times the weekly workload per semester. The maximum hours accumulation is 640 hours.

VACATION BENEFITS: Vacation is earned based on the length of service and hours worked each pay period. (Not available for Instructors)

PAID HOLIDAYS: MATC offers paid/flex holidays based on position.
