Role Summary

The Facilities Programs and Engagement Specialist is part of the Facilities Operations organization. The primary function of this role is to create, own, and continually optimize our key stakeholder event process, acting as the lead event manager for Facilities and our liaison to cross-functional partners.

This role will be responsible for creative project/program management, execution of onsite and offsite events, and collaboration with internal and external Rivian stakeholders, including our leadership team.

Responsibilities

  • Create, manage, and optimize our key stakeholder event process from intake to execution
  • Develop strategy for internal event management scope and receive buy-in from leadership
  • Oversee and respond to event inquiries and event management questions and requests, acting as a subject-matter expert of our internal event process
  • Project manage event processes, acting as a liaison between internal stakeholders and Facilities to execute over 100 events successfully each year
  • Deeply analyze data and trends used to inform strategy and/or process planning
  • Ensure that all events are set up according to Rivian standard with energy efficiency, cleanliness, and impeccable presentation
  • Implement and oversee event management tools, educating other parts of the business on best practices
  • Create and distribute event communications with attention to branding and audience
  • Ensure requestor’s needs are met with timeliness and enthusiasm
  • Build and maintain relationships with vendors, ensuring high quality partnerships
  • Develop strong internal working relationships with all departments and maintain effective communication between all team members
  • Lead adhoc projects/programs with minimal guidance
  • Demonstrate keen decision-making abilities to deliver against scope, quality, schedule, and budget

Qualifications

  • A high school diploma (or equivalent) required, 6-7 years of event management experience
  • A strong knowledge of event management and understanding of facilities operations project process
  • A proven track record of successfully seeing projects and programs through with minimal guidance
  • A team player with strong executive presence who can interface with top-level leaders on a regular basis
  • A positive attitude and interest in growing a new program
  • Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help
  • An ability to be flexible and quickly adapt to change
  • Excellent Microsoft Office skills and proficiency in a range of information technology tools and presentation platforms like Smartsheets, AirTable, PowerPoint, Figma, SharePoint, Google Slides, etc.
  • A service-oriented personality – self-motivated, confident, energetic, and flexible
  • Excellent verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player

Pay Disclosure

Salary Range for Palo Alto, CA based applicants: $94,000 – $108,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).

Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time employees, their spouse or domestic partner, and children up to age 26. Coverage is effective on the first day of employment, and Rivian covers most of the premiums.
