What Your Job Will Be Like
We are seeking a Protocol Professional to become a valuable member of a highly motivated and professionally diverse Executive Protocol team. The incumbent will help facilitate, guide and integrate the work of Executive Protocol by overseeing and managing the comprehensive coordination for all aspects of visits by high-profile distinguished visitors (DV) and special executive-level events hosted by our Executive Leaders. You will exercise initiative, manage organizational workflow, handle multiple issues concurrently to meet deadlines, collaborate with stakeholders, resolve immediate problems related to assignments of limited scope, and be a continuous learner and champion new ways to fulfill our mission and build a strong safety and efficiency culture in support of Sandia goals and objectives.
On any given day you may be called on to:
- Provides project/strategic management leadership with management and customers to assess visitor requests, as well as anticipate the information and decision needs of the executive senior leadership team and provide recommendations to ensure they are ready to make fully informed decisions relevant to high-level distinguished (DV) visits/executive special events and coordinate briefings with appropriate management and/or programmatic offices
- Oversee, lead and participate in planning, decision-making and coordination of all executive level events including preparation of agendas, project schedules, workflow procedures, and statistical reports for organizations requesting distinguished visitor support and event management. Research, coordinate and develop solutions to complex visit and event problems using innovation and ingenuity.
- Understanding of the budget management and provides detailed analysis on allowable and unallowable costs relevant to event management, project schedules, prepare workflow procedures and statistical reports for organizations requesting protocol support.
- Responsible for requesting and receiving bids, selecting contractors and managing many different types of vendors and services, including hotel venues, caterers, photographers, transportation, security, etc, based on the needs of DV visits or business meetings.
- Proactively manages changes in project scope, identifies potential issues, develops risk mitigation strategies and corrective actions, recommends risk acceptance or avoidance and devises contingency plans as necessary for all aspect of the event/visit.
- Actively builds and maintains networks with a wide range of internal and external stakeholders, to include but not limited to US Government, national labs, business community, and other prominent stakeholders.
- Executes all events and visits with utmost consideration for safety and security and an eye to diversity/equity/inclusion.
- Frequently seek management guidance and decision related to protocol activities and distinguished visitor requests above their workscope.
- Performs any other duties as may be required from time to time.
Salary Range
$65,300 – $125,400
*Salary range is estimated, and actual salary will be determined after consideration of the selected candidate’s experience and qualifications, and application of any approved geographic salary differential.
Qualifications We Require
- Bachelor’s degree in a relevant discipline, plus (5) years of experience, or the equivalent combination of education and/or experience.
- Subject matter expert on global business, government and cultural etiquette, both social and corporate while also understanding of human interaction and needs, to help better ensure proper perception is maintained.
- Understanding of U.S. government policies on gifts and business courtesies.
- Strong background in project management and project control.
- Experience planning and coordinating meetings and events and being held accountable for the results.
- Strong experience and understanding of common MS office software, commercial off the shelf event and meeting management tools, and SharePoint software.
- The ability to obtain and maintain a DOE Q-level security clearance.

About Our Team
The Executive Protocol Office serves as a resource for administering widely accepted protocols for international, U.S. government, and political meetings/events sponsored by SNL. The office oversees the planning, organizing and handling of Distinguished Visitors (DV) visits and executive level events hosted by SNL executive management to highlight Sandia’s mission and achievements.
Posting Duration

Security Clearance
Sandia is required by DOE to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications. Applicants for employment need to be able to obtain and maintain a DOE Q-level security clearance, which requires U.S. citizenship. If you hold more than one citizenship (i.e., of the U.S. and another country), your ability to obtain a security clearance may be impacted.

If you have a Medical Portable Electronic Device (MedPED), such as a pacemaker, defibrillator, drug-releasing pump, hearing aids, or diagnostic equipment and other equipment for measuring, monitoring, and recording body functions such as heartbeat and brain waves, if employed by Sandia National Laboratories you may be required to comply with NNSA security requirements for MedPEDs.
If you have a MedPED and you are selected for an on-site interview at Sandia National Laboratories, there may be additional steps necessary to ensure compliance with NNSA security requirements prior to the interview date.
Position Information
This Limited Term Employee (LTE) position is a temporary position for one year term, which may be renewed at Sandia’s discretion up to a maximum of seven years.
Individuals in LTE positions may bid on regular Sandia positions as internal candidates, and in some cases may be converted to regular career positions during their term if warranted by ongoing operational needs, continuing availability of funds, and satisfactory job performance.
