Programming Coordinator | Moody Center

Overview

The Programming coordinator will be responsible for coordinating efforts to bring the best-in-class concerts, sporting events, and family entertainment to Moody Center. In this role, the Programming Coordinator will work closely with the programming team to assist with event development, booking calendar distribution and maintenance, communication of rental rates and policies and maintain ongoing communication with agents, managers, promoters, producers, and other key live entertainment personnel. The Programming Coordinator will use creativity in an outbound sales effort to solicit new arena business for Moody Center.

This role will pays an hourly wage of $24.04 to $28.75.

Responsibilities

  • Assist the VP of Programming to manage the booking calendar, including sending avails in a timely manner, placing holds and routine calendar clean-up and maintenance
  • Coordinate booking for non-traditional content, including but not limited to family shows, sporting events, theatrical events, special events, etc.
  • Establish and maintain excellent relationships with key industry personnel, including agents, promoters, managers, family show producers, etc.
  • Communicates rental policies and procedures with prospective clients, including rental fees, expenses, labor rates, catering services, available equipment, etc.
  • Collaborate with other departments for ideation and execution of events in ancillary spaces, including outdoor plazas, clubs, arena floor, etc.
  • Prospect and develop new business opportunities
  • Coordinates and maintains internal and corporate event requests
  • Prepares, issues and tracks event license agreements and insurance requirements, and ensures fully executed copies are returned prior to events
  • Assists with event settlement, as needed
  • Facilitates the communication of pertinent event information with internal departments
  • Collaborate with other departments for ideation and execution of world-class backstage experiences for artists and touring crews
  • Frequent bending, lifting 50+ pounds, sitting, exposure to multiple external elements, extensive walking through the building.
  • Other duties as assigned.

Qualifications

  • 1-3 years related experience in the public assembly industry (stadiums, arenas, and/or convention centers).
  • Ability to demonstrate knowledge of the principles, practices, and terminology of the live entertainment industry.
  • Ability to demonstrate creative thinking in an outbound sales role.
  • Ability to develop and analyze financial pro formas for events based on historical performance and current market conditions and recommend appropriate actions/changes to meet business goals.
  • Ability to work with and maintain highly confidential information.
  • Ability to demonstrate high level of professionalism and integrity.
  • Strong computer skills including Word, Excel, PowerPoint and applicable standard applications.
  • Experience with calendar booking software, including Eventbooking or VenueOps is preferred.
  • Experience with Ticketmaster and TMOne is preferred.
  • Bachelor’s degree from an accredited four-year college or university is preferred but not required.

Working Conditions:

  • Minimal Travel (<10% travel): May be required to travel. Trips may require air travel and/or overnight stay away from home for one or more nights.
  • Must be able to work a flexible schedule inclusive of weekends, nights and holidays required
