Description
Cary’s Festivals & Events team is seeking a creative, organized, and enthusiastic Program Assistant to help deliver unique programming and events for Cary community members. The Festivals & Events Assistant supports the Festival & Events Supervisor and Festivals & Events Specialist in planning, coordinating, preparing, and executing outdoor festivals and events for Cary. Working both behind the scenes and at the festivals and events, the Festivals & Events Assistant supports the team’s mission of providing engaging, free, public events that support tourism and community in Cary. The Festivals & Events Assistant will drive operations by contributing ideas for events, managing content on Cary web pages, coordinating volunteers for the Spring Daze and Lazy Daze Arts & Crafts Festivals, preparing materials for events, and staffing festivals and events.
Events include Lazy Daze Arts & Crafts Festival (4th Weekend in August), Spring Daze Arts and Crafts Festival (Last Saturday in April), and other weekend events.
This position requires a flexible schedule which may include evenings, weekends and some holidays.
This is a part-time, non-benefited, year-round position, up to 20 hours a week, with a maximum of 999 hours per year.
Typical Tasks
- Prepares marketing and program materials for events;
- Updates relevant content on Cary web pages;
- Provides on-site staff support at festivals and events;
- Completes administrative tasks to support the function of the team
- Coordinates volunteers for Lazy Daze & Spring Daze
- Works with the Festivals & Events Supervisor to determine volunteer needs;
- Recruits volunteers and provides ongoing volunteer communication;
- Collects and organizes volunteer data;
- Designs and supports implementation of volunteer training experience;
- Prepares all materials for event volunteers;
- Manages volunteer headquarters at events;
- Coordinates post-event surveys;
- Performs other job-related tasks as required.

Requires strong organizational, computer and marketing skills; general knowledge of event and project management; general knowledge of computers and related software; general knowledge of standard office practices and procedures; ability to complete assignments accurately and on-time; ability to operate common office equipment; ability to maintain filing systems; ability to meet with and communicate with the public and staff effectively; ability to deal with the public in a firm but tactful manner; ability to maintain and establish effective working relationships; ability to understand and carry out oral and written instructions; ability to work a flexible schedule which may include evenings, weekends and some holidays. ability to acquire knowledge of policies, procedures and services of the division and department.
Minimum and Preferred Qualifications
Requires a combination of education and experience equivalent to an associate’s degree in parks & recreation, communication, marketing, event management, or a related field.
Physical Requirements:
Requires the ability to lift moderately heavy items such as tables and chairs, move about uneven grounds, and stand for extended periods of time.
Requires possession of a valid driver’s license with an acceptable driving record.
Requires drug testing and background check (which may include criminal check, education verification and credit history review) prior to employment.
