The Facilities & Hospitality Department of the Stanford Graduate School of Business seeks a Facilities Project Manager. The Project Manager will work in the Facilities Operations Team, overseeing the upkeep of a photo-ready appearance of all interior and exterior design elements, including our grounds and landscape. The Project Manager also collaborates with the project team to develop and lead other projects as needed. As a member of the Facilities & Hospitality Department, this individual will also assist with general facilities oversight, including after-hours and weekend support on a rotating basis.

In this role, you will collaborate onsite with a phenomenal team to create a vibrant living and learning environment visually affirming the excellence integral to the ongoing success of the GSB.

Please note that this position is a full-time onsite role.

Your primary responsibilities include:

  • Collaborate with Interior Designers, Architects, and Contractors to select, replace, and refresh interior finishes and aesthetics. This includes developing and implementing strategies for paint, upholstery, carpet, wall coverings, window coverings, signage, artwork, and other interior and exterior elements.
  • Ensure landscaping is maintained for a visually appealing look. Collaborate with university teams responsible for grounds, maintenance, and irrigation to address landscaping issues. Align landscaping efforts with university vendors and design plans.
  • Manage the furniture inventory, including ordering new furniture as needed and coordinating repairs or replacement parts. Responsible for proper disposal or donation of unneeded items. Emphasize the selection of multipurpose furniture that is durable, adaptable, and long-lasting for staff, faculty, students, and guests.
  • Perform project management oversight, which involves defining project scopes, establishing budgets, creating scope of work breakdowns, generating estimates, developing project plans, and establishing communication plans and schedules. Projects encompass renovations, expansions, and infrastructure, as well as landscape projects. Collect, develop, and analyze technical data to determine project requirements and prepare detailed information on specifications, materials, equipment, estimated costs, and completion times. Ensure the preparation of required project documentation.
  • Actively participate in emergency preparedness, recovery, and business continuity coordination. This includes involvement in the Manager-on-Call rotation for handling after-hours support and emergency response.

To be successful in this position, you will bring:

  • Bachelor’s degree in a related field and two years of relevant experience or combination of education and relevant experience.
  • Polished written and oral communication skills to address a wide variety of audiences.
  • Ability to productively contribute to cross-functional teams.
  • Depth of knowledge in technical discipline/domain needed to deliver projects such as building codes, regulations, and sustainability practices.
  • Demonstrated project management ability to employ integration, scope time management, cost, quality, human resources, communications, risk, and procurement components. Your track record should showcase your ability to deliver projects on time and within budget. Proficiency in project management software and tools.

In addition, preferred requirements include:

  • Demonstrated ability to pay meticulous attention to detail and design, along with a proven history of implementing successful improvements that enhance the visual appeal of furnishings, finishes, and landscapes.
  • Strong analytical skills enabling you to review and assess complex financial data. Proficiency in building and maintaining spreadsheets is essential for effective financial analysis.
  • Agile planning skills, with the capacity to prioritize and manage multiple tasks, projects, and evolving priorities. Your demonstrated ability to collaborate with various stakeholders is crucial for success in this role.
  • A strategic thinker and problem solver, capable of developing well-founded conclusions and recommendations. Your strategic mindset will be instrumental in guiding projects to success.
  • Ability to foster strong working relationships across different departments, promoting collaboration and cooperation. Maintaining positive vendor relationships is also vital to ensure seamless project execution

The expected pay range for this position is $87,000 – $110,000 per annum.
