Manager, Payroll Scheduler

Climate Pledge Arena, a $1.15 Billion redevelopment of the facility formerly known as KeyArena and built originally for the 1962 Seattle World’s Fair. Located at Seattle Center in the heart of Seattle’s Uptown Neighborhood, the new venue offers a truly unique and intimate experience for the newest NHL franchise, the Seattle Kraken, WNBA’s Seattle Storm, concerts and other entertainment events, while preserving the historic nature of Seattle Center and its surroundings. This project is a completely new arena beneath its existing historic-landmark roof. Climate Pledge Arena opened October 22, 2021.

Position Summary:

The Payroll Scheduling Manager is responsible for ensuring team member schedules are completed and departments are appropriately staffed for all events. They are responsible for processing, monitoring, and maintaining person records in our ESS platform, ABI MasterMind. In addition, they will be responsible for processing certain payrolls via our payroll system, UKG.

Essential Duties & Responsibilities:

  • Ensure all departments are appropriately staffed for every event (adequately for each individual staffing level) and confirm that all union employees are scheduled in accordance with Event Staff Collective Agreements.
  • Accurately submit all hours worked for team members into payroll system for timely processing.
  • Actively oversee staffing numbers for events and monitor attendance numbers and communicate staffing changes to department heads, including but not limited to employees calling in sick, or calling off shifts.
  • Monitor, manage, and ultimately become the Subject Matter Expert for ABI MasterMind, our ESS platform.
  • Collect and enter retroactive records in the scheduling and time processing software to confirm accuracy and consistency between ABI and UKG.
  • Collaborate with team members to create and adjust department positions, work types, event templates, and all other ABI related customizations to streamline scheduling and time processing efficiencies.
  • Responsible for ensuring accurate and timely reporting of union payrolls including: develop a deep understanding of existing union contracts, input union fee deductions into payroll system, create and run reports to validate accuracy of union payroll and deductions.
  • Partner with Payroll Manager to prepare certain payrolls within established deadlines.
  • Participates in other duties and special projects as required.

Required/Preferred Experience & Qualifications:

  • 2+ years of overall payroll and/or scheduling experience in a medium-large organization.
  • Experience within a unionized environment, dealing with labor relations and Collective Bargaining Agreements.
  • Bachelor’s degree in Accounting, Business or Finance, preferred or equivalent experience required.
  • Experience with ABI Mastermind and UKG strongly preferred, however not mandatory
  • Demonstrated ability to work cross-functionally with multiple stakeholder teams, such as HR, Operations, Legal and Technology.
  • Advanced knowledge of HR/Payroll processes and systems that help administer or control pay programs, person records, and scheduling.
  • Excellent organizational skills.
  • Demonstrated attention to detail.
  • Ability to learn quickly, open to change and enjoy the challenge of unfamiliar tasks.
  • Must be able to work in a fast-paced environment and ambiguous environment; handle multiple tasks with the ability to re-prioritize and shift priorities quickly.
  • Written/Oral communications – ability to speak and write clearly and concisely, get messages across that have the desired effect.

Working Conditions:

  • Minimal Travel (<10% travel): May be required to travel. Trips may require air travel and/or overnight stay away from home for one or more nights.
  • Must be able to work a flexible schedule inclusive of weekends, nights and holidays required

Compensation:

  • In accordance with the Washington State Equal Pay and Opportunity Act, the expected base pay range for this position is $75,000 – $110,000 annually. Actual base pay will depend on employee’s experience and other job-related factors permitted by law.
  • This role is classified as an exempt role
  • We believe it takes a great team to build an award-winning organization. As an impactful member of the team, this role is bonus eligible
