Manager of Audio-Visual Services

Serve as the primary audio and visual expert for all conference rooms and hybrid meeting spaces within the senior management areas of the President, Executive Vice President and Provost, and Executive Vice President and Chief Operating Officer. Reporting to the Associate Director of Business and Management Systems, this position is responsible for the design, implementation, support, and maintenance of all audio and visual equipment and software in conference rooms and hybrid meeting remote locations for supported offices. The position requires in depth knowledge of audio and visual technologies to successfully design and operate meeting spaces. Position will prepare budget documents and plan timelines for meeting room upgrades. The position will troubleshoot problem areas in a timely and accurate fashion and provide end-user training and assistance. Responsible for ensuring rooms meet university AV standards, various electronic products are operating optimally, and that functionality is seamless across all supported spaces.

Position effectively communicates with supported departments to gather event/meeting details and provide technology required for successful events/meetings. Position requires independent and quick decision making to appropriately respond to changing event requests to meet executive needs. Specialized knowledge and continued training related to new AV technologies is required to keep university executives operating effectively and efficiently for remote meetings. Events/meetings may occur during nights and weekends and at various locations across campus and Virginia.

Position responsibilities:
• Use in-depth AV experience and training to Independently work with offices to identify AV office requirements, create bid packages, and plan implementation of requested technologies
• Independently prepares and maintains project documentation, budgets, specifications, bid packages, and technical diagrams/layouts
• Ensures AV systems are robust, scalable, secure, adhere to university AV standards, and are seamlessly integrated across all supported spaces
• Provides AV support for Board of Visitor meetings as required by Virginia law
• Manages room and space information in university reservation system
• Maintains accurate software records and appropriate hardware settings, including equipment, locations, features, drawings of telecommunication systems, and system cable records
• Manages audio and visual equipment inventory, amortization, and upgrade schedules, systematically checking and maintaining installed equipment to ensure proper operation
• Provides support and recommendations for in-person, remote, and hybrid systems to facilitate successful meeting environments in various contexts
• Assembles, installs, and maintains AV-related network components and communications equipment
• Maintain and troubleshoot audio and video equipment in all supported conference rooms
• Work with departments to gather event/meeting details and successfully manage events/meetings
• Prepare and setup AV equipment in meeting spaces not equipped with necessary AV technologies to satisfy user requirements and successful meetings/events.
• Rapidly make decisions based on changing venue requests and user needs
• Operate software to control AV technologies

Required Qualifications
• Working Experience supporting audio visual equipment
• Experience directly supporting executives AV requirements in professional business settings
• Experience preparing specifications, bid packages, and designing audio visual systems
• Experience supporting hybrid meetings in AV equipped physical spaces
• Experience setting up and operating AV technology required for hybrid meetings in spaces without built in AV technology
• Experience with various web conferencing software applications, lecture capture hardware/software, and live streaming environments
• Experience working with users to gather event/meeting details for audio visual needs
• Experience providing rapid and highly effective support to troubleshoot and fix malfunctioning audio-visual equipment
• Experience documenting audio-visual systems in multiple spaces
• Ability to communicate effectively in oral and written form
• Ability to operate comfortably in high stress environments
• Ability to multi-task projects while maintaining appropriate user response etiquette
• Proven ability to keep information confidential

Preferred Qualifications
• Associates degree in audio visual related field
• Industry approved training or certificates in audio visual technologies, such as Avixa, Crestron, and QSC
