Job Description

GENERAL PURPOSE

Works under the supervision of the Executive Director of Community Development, the Killeen Arts & Activities Center Manager is responsible for the oversight of the Killeen Arts and Activities Center bookings, staffing events, and overall operations.

SUPERVISION EXERCISED

Employee has supervisory responsibilities over all staff for the Killeen Arts an Activities Center.

Essential Duties

CORE COMPETENCIES:

Manages day-to-day operations and functions of the Killeen Arts & Activities Center (KAAC); plans, organizes and directs, controls, and evaluates overall operations.

Directs and coordinates changing set ups for a variety of events; coordinates room set ups, tear downs, and clean up after event. Coordinates events with client’s requests; schedules events to ensure optimal facility usage and efficient scheduling of staffing. Sound, lighting and audio-visual equipment set up and basic programming is required.

Establishes or adjusts work procedures to meet event schedules. Maintains time and productivity records. Suggests changes in working conditions and use of equipment to increase efficiency of operations of the KAAC. Ensures timely completion of jobs by coaching/counseling staff. Monitors staff time used and subcontracts jobs as necessary.

Ensures a safe workplace by communicating, training and enforcing safety policies, demonstrating safety techniques, reporting accidents and correcting unsafe working conditions and behaviors.

Advises and assists the customers in completion of contractual agreements between the customer and the KAAC. In addition, assists customers with booking local events, such as weddings, meetings, and conferences.

Prepares and administers a budget; responsible for purchasing supplies and accurately accounting for receipts, expenditures, and inventories. Purchases tools, equipment and supplies for KAAC within budget and purchasing guidelines.

Controls the collection of revenues, reports and customer issues; maintains a check and balance of deposits, collections and accounting of all receipts.

Makes recommendations to the Director regarding division policies, budgets, and capital improvements.

Keeps an operational log during functions; open and closes facilities and performs fire and security checks.

Knowledge of Texas Alcohol and Beverage Commission (TABC) regulations. Schedules and processes security payments for events, and bar requests.

Coordinates advertising and marketing efforts for KAAC to include brochures, folders, website, social media and outside advertising pieces to increase the public awareness of the facility.

Efficiently and effectively handles complaints received.

Responds to client needs before and during events to ensure customer satisfaction.

Inspects facility regularly for cleanliness; ensures adequate safety devices and provisions are in place for patrons as well as staff.

Possesses and maintains a valid driver’s license and comply with City of Killeen driving policy.

Serves as a member of various employee committees, as assigned.

Performs other duties as assigned.

Required Minimum Qualifications

Education and Experience:

  1. Graduation from two-year accredited college or university in business, hospitality, marketing, facility management, tourism or related field; and
  2. Two (2) years of demonstrated experience in management and scheduling of a multi-use facility along with facility maintenance, and custodial supervision background; or
  3. Any equivalent combination of education and experience.
  4. One (1) year supervisory experience preferred.

Knowledge, Skills and Abilities:

  1. Ability to plan, organize and supervise the work of others.
  2. Ability to establish successful working relationships.
  3. Ability to meet and communicate effectively both verbally and in writing with other employees, division and department heads, contractors and the general public; ability to handle stressful situations.
  4. Ability to understand mathematical concepts to include basic arithmetic.
  5. Working knowledge of lighting, sound and audio/visual components.
  6. Working knowledge of facility maintenance requirements.
  7. Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures; some knowledge of accounting principles and practices.
  8. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  9. Professional appearance and attention to detail are required.
  10. Working knowledge of Microsoft Office programs.
  11. Ability to work independently with minimum supervision.
  12. Knowledge of budgeting policies, purchasing policies, and contractual agreements.
  13. Ability to maintain regular and punctual attendance.

  2. Must obtain and maintain a Texas Driver’s License within 90 days of hire.
