This position is full-time, nonexempt, classified and covered under the Superior Court Employee Handbook. This is an employee-at-will position.
Hours are Monday – Friday; 8:00 am – 4:30 pm and as needed; 37.5 hours/week; overtime as required
The Judicial Assistant evaluates and processes pleadings and court orders filed in family and juvenile cases and assists the Judge, Magistrates, and Law Clerk situated at the Allen County Juvenile Center with handling case documentation and responding to inquiries concerning court proceedings.
ESSENTIAL FUNCTIONS:
- Responsible for receiving, reviewing, evaluating, and acting on pleadings and proposed orders from attorneys and unrepresented parties conducting business with the court.
- Regularly reviews Quest and/or Odyssey queues, routes/assigns pleadings to the appropriate judicial officer or department, and inputs appropriate chronological case summary entries.
- Greets parties, attorneys and other attendees for scheduled hearings in family/IV-D cases and completes the check-in process for court.
- Prepares basic proposed orders consistent with established procedures, including, but not limited to, setting pending matters for hearing by evaluating available calendar schedules, and/or referring cases to mediation.
- Answers phone calls to the Court and communicates with attorneys/their staff, Allen County Prosecuting Attorney’s staff, Jail/Warrants Division, Department of Corrections’ personnel and the general public regarding procedures of the Court and with general information.
- Helps court patrons with basic procedural/operational questions concerning the onsite Indiana Legal Help Kiosk.
- Processes and routes mail for judicial officers and court staff.
- Assists with Court Reporter duties in their absence.
- Performs all other duties as assigned, including overtime as required
Minimum Requirements and Working Conditions
REQUIREMENTS:
- High School diploma or GED and at least three (3) years’ experience in the legal or related field
- Associates degree or some college preferred
- Strong computer skills and ability to use Quest, Odyssey, Outlook, Microsoft Office, and job-related software
- Exceptional communication skills (both verbal and written)
- Sound judgment, patience, and a spirit of helpfulness
- Organized with precise attention to detail
- Ability to maintain strict confidentiality
- Operation of standard office equipment, including, telephone, scanner, fax, copier, computer, and printer
WORKING CONDITIONS:
The Judicial Assistant works at the Allen County Juvenile Center in a standard office setting frequently rotating between sitting and standing positions with the ability to move about freely within the office space and some bending, pushing/pulling, reaching overhead, and lifting. The job entails very frequent mental/visual effort, typing, e-mails and telephone communications, attention to detail, monitoring of case queues and equipment, detailed inspection and proofreading. Due to the nature of the cases heard at the Allen County Juvenile Center, the Judicial Assistant will at times have to deal with individuals who are stressed, irate, or verbally aggressive.
