Description

Erie Neighborhood House (ENH), a social service agency serving the Chicago metropolitan area and dedicated to promoting a just and inclusive society, is seeking a full-time Immigration Program Manager. Reporting to the Director of Legal Services, the Immigration Program Manager’s basic function is to provide logistical and administrative support to the immigration legal services team, including strategic planning, coordination and oversight of workshops and in-office clinics, preparation of funding requests and data reports, and volunteer training and coordination.

POSITION RESPONSIBILITIES:

  • Manage the coordination of Erie House immigration workshops and clinics, including staff coordination, securing dates and locations, logistics planning, and volunteer assignments;
  • Serve as main point of contact for New Americans Initiative Northside Collaborative, coordinating partners to support in achieving funding goals;
  • Manage office operations for the department, including purchasing program supplies, coordinating payments for staff trainings, and overseeing deadlines to renew the agency’s DOJ recognition and staff accreditation;
  • Manage, supervise, coach, and mentor the Legal Assistant;
  • Research, develop, and prepare public and private funding proposals in collaboration with the Director and Development Department;
  • Manage all grant and data reporting for the Legal Services department;
  • Consult with the Director to design, review, and maintain the department’s data collection tools and methodology for data entry;
  • Ensure accuracy and compliance in reporting requirements;
  • Implement quality control measures and perform audits to ensure the reliability of data collection;
  • In collaboration with the Director, manage, train, and oversee interns and volunteers for the department;
  • Assist the Director in monitoring the program’s budget and operating costs;
  • Oversee the department’s ‘s intake and appointment process, including triaging a high volume of public and professional inquiries, and assist applicants in a professional and compassionate manner while maintaining confidentiality;
  • Cover the office reception desk as needed, in the event the Legal Assistant is unavailable;
  • In collaboration with the Legal Assistant, manage the department’s outreach and support services to clients, including referrals to other Erie House programs and external agencies;
  • Serve as lead on the effective use of LawLogix, ensuring that information needed for grant reports and internal reporting is collected accurately and timely;
  • Serve as lead on the department’s immigration advocacy and community outreach initiatives;
  • Collaborate with both internal departments and external partners to ensure the needs of the department’s immigration clients are met;
  • Actively engage in understanding current immigration law and the department’s office procedures relating to immigration case work;
  • Actively participate in public education workshops regarding important immigration issues facing the community;
  • Assist in case management of immigration applicants, particularly those attending workshops, including but not limited to: maintaining client files, drafting cover letters, preparing application packets, reviewing case files;
  • Follow up on pending case work and maintain communication with clients via phone, email, or mail regarding missing documentation necessary for submission of application;
  • Respond to all phone calls and email inquiries on citizenship and immigration issues in a timely manner.
  • Represent department at meetings, conferences, and/or legislative visits when necessary;
  • Participate in on-going immigration trainings and other professional development; and
  • Other duties as assigned.

Requirements

  • Bachelor’s Degree or demonstrated and significant experience in working with immigrant communities and an understanding of immigration legal services is required;
  • Written and oral fluency in English and Spanish required;
  • Willingness to seek Department of Justice (DOJ) accreditation;
  • 2-3 years’ experience in supervision/coordination of programs preferred;
  • Excellent organizational, oral, and written skills;
  • Solution-oriented mindset, with a willingness to take initiative while juggling several priorities;
  • Strong proofreading and detail-oriented research and writing skills;
  • Ability to prioritize and juggle multiple projects simultaneously and independently, often under pressure and in a fast-paced environment;
  • Desire and ability to work independently, but also to perform in a team environment;
  • Ability to maintain confidentiality;
  • Ability to stay organized, manage a high-volume workload, and work under strict deadlines;
  • Sensitivity to the needs and legal issues affecting people of diverse backgrounds;
  • Excellent professional judgment and interpersonal skills; ability to comfortably exercise calculated risks;
  • Proficiency in Microsoft Office Suite and case management software preferred;
  • Access to reliable transportation; preferably access to a car, valid driver’s license, and insurance;
  • Willingness to work flexible hours; some evenings and weekends required;
  • Demonstrated commitment to social justice and sensitivity to challenges of the immigrant community.
