Yakima Valley College is accepting applications for the position of Fiscal Specialist 1 in the Administrative Services Division – Accounts Payable and Budget departments committed to community college students and their success. This is a full-time classified position, beginning salary is $3,246 per month for 40 hours per week, with periodic increments up to $4,324, plus a full state benefits package.
Reporting to the Assistant Director of Business & Accounting Services, the Fiscal Specialist 1 provides fiscal support to the Business and Budget Offices. The Fiscal Specialist handles high volume of paper documents, tracking, verifying and matching payment documents, preparing payment and inputting into the accounting system. The successful candidate will assist the Budget Director in managing the salary budget, review payroll transfers, create and maintain payroll combo codes and upload budgets into the budget system. This position is a challenging assignment that involves the use of a complex automated system for maintaining college accounting records. Work involves a high degree of detail, largely involves numbers or strings of numbers/text, mathematical acumen, cash handling, accuracy and thoroughness, evaluation of input and end result, dependability, and flexibility to changing work situations/workflow. Work conditions include high stress situations, high use of technology for the majority of the job, high degree of accuracy and efficiency, and functioning in concert with other Business & Budget Office team members. The position requires extended periods of concentration and regular office hours for support functions.

Minimum Qualifications:
1. Three years of fiscal record keeping experience
OR
2. Equivalent education/experience
Preferred Qualifications:
- Associates degree in Accounting
- Proficient in Microsoft Office (including excel, Word, Outlook and Access)
- Demonstrated successful experience working accurately with numbers
- Demonstrated ability to work in the area of mathematics and accounting
- Demonstrated ability to work with and communicate clearly with members of the faculty, staff, and administration
- Washington State Community College experience
Qualifications
JOB PROFILE:
- Accounts Payables: Prepare, audit, verify and process final documents such as vouchers, purchase requests, invoices, and receipts. Match accounts payable documents with receiving copies, packing slip, and invoices for payment. Input transactions into the accounting system, liquidate encumbrances, and coordinate distribution of payment. Work collaboratively and in close concert with Purchasing & Central Receiving.
- Budget: Maintain salary budget spreadsheets. Review payroll transfers. Create payroll combo codes and enter budget transfers per instructions of the Director of Budget Services. Support other budget services activities.
- Review the daily accounting reports, verifying transactions, checks, and batches are in balance
- Respond to requests from vendors, students, faculty and staff. Work collaboratively and positively with college community and public
- Process incoming mail for Business Office and prepare cash receipt journal and cash receipt log
- Request checks to be cancelled or reissued for corrections
- Assist Purchasing with the maintenance of vendor information in accounting system.
- File accounts payable documents
- Be skilled with Excel and Word
- Use a variety of computer programs to perform daily duties.
- Excel: Collect and organize data on spreadsheets, for existing and new spreadsheets
- Access: Use Access databases, query for data
- File Management: Maintain server files and folders. Move files to designated folders and ensure reports are maintained for historical records
- Word: Create emails, memos, and letters with proper grammar, sentence structure, tone and clarity
