SEATTLE HUMANE CAMPUS OVERVIEW:

In 2017, Seattle Humane opened a state-of-the-art 60,000 square foot mixed-use building located on 4+ acres of land that include 90 car parking lot, walking trails, plus protected wetlands, all referred to as the campus.

Seattle Humane’s Bellevue Campus consists of a single main building and is a unique combination of:

  • Animal hospital with two surgical suites, x-ray room, and infectious disease isolation rooms
  • Corporate offices
  • Client facing spaces for meeting and engagement.
  • A 3rd party retail space inside our adoption lobby
  • Animal shelter with over 200 indoor kennels
  • A fleet of 7 vehicles ranging from cars to class-B trucks
  • Extensive HVAC system
  • Boiler/Hydronics system
  • Commercial laundry facilities
  • Mixed-use play spaces with retractable roofs

POSITION SUMMARY:

The Facilities & Capital Projects Director is responsible for establishing and implementing the strategy to maximize the efficiency and optimal function of Seattle Humane’s building(s) and fleet (current and future) to achieve the organizations strategic priorities and meet building standards. They will be responsible for developing and managing an annual operational budget, as well as developing, directing, and overseeing five-, ten-, and fifteen-year capital needs assessment (CNA) and proforma. This position will work collaboratively with all division leaders, VPs, and chiefs to support the mission, goals, and long-term plans of Seattle Humane.

They will be expected to split their time as needed between hands on work and providing managerial direction, oversight, and strategic decisions . This position will leverage contractors for all work/scope beyond the department’s capacity. They will establish, train and oversee the facility maintenance programs and provide strategic direction of long-range facility plans.

They are accountable for the overall appearance, maintenance, performance, as well as general repairs of the building grounds and vehicles, and the coordination of capital improvement projects. They play a vital leadership role with the Safety Committee by maintaining an up-to-date safety program, including disaster preparedness, emergency preparedness, safety manual, safety training and MSDS (material safety data sheets).

KEY OR ESSENTIAL FUNCTIONS:

  • Evaluates current and future facilities, fleet, and equipment needs. Assists in the development of written short-term and long-range goals relating to the facility and maintenance needs. Provides input and direction in any new fleet, facility construction, or remodeling projects.
  • Participates in annual and strategic facility budget planning. Submits division budget requests.
  • Prepares monthly reports and/or other data requested by the Chief Executive Officer, Chief Operations Officer
  • Maintains appropriate files and records. Adheres to the files and records retention policy and procedures.
  • Tracks and monitors building energy and water performance monthly. Works with staff, suppliers, and support contractors to improve energy efficiency and reduce utility spend.

Facility Maintenance

  • Lead, plan, direct and implement facility, fleet, and maintenance programs to provide employees, clients, visitors, and animals with an orderly, clean, secure, and safe environment:
  • Communicate priorities and projects to staff when appropriate; involve a team from other departments when needed.
  • Initiates and approves maintenance and improvement projects within the scope and budget approved by SH Board of Directors.
  • Supports Facility Manager in meeting and negotiating with suppliers, contractors, or vendors.

Safety & Compliance

  • Monitors compliance with safety, health, and labor regulations
  • Initiates, create and recommend changes, and once approved, implements procedures in support of changes.
  • Works closely with other departments and regularly informs them of any changes.
  • When necessary, provides additional training to staff or volunteers to ensure compliance.
  • Responsible for and represents management on the safety committee.
  • Completes and maintains appropriate insurance and safety forms.
  • Primary contact for coordinating and passing regulatory facility inspections (elevator, fire alarm, etc.)
  • Responsible for preparing facility for meeting Washington Clean Building Standard.
  • Oversees shelter planning for disaster preparedness; communicates with emergency management agencies and arranges staff training when and where needed.

Capital Projects

  • Supports senior leadership and COO in discovery, planning, coordination, and oversight of any capital improvement projects.
  • Establishes the budget.
  • Meets and negotiates with suppliers, contractors, or vendors.
  • Develops cost estimates and recommendations for the COO, CFO, and CEO.
  • Creates written schedule and approval system (indicating punch lists and department buy-off) and communicates regular updates to staff.
  • Implements with the proper assistance of professional contractors or suppliers.

SECONDARY FUNCTIONS:

  • Creates projects or opportunities for increased volunteer assistance in the division.
  • Assists with volunteer and staff training as requested.
  • Responds to any safety or alarm system calls, problems, or needs in a prompt fashion and on an on-call schedule.
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITY:

  • Supervises the Facilities Manager, staff and, when appropriate, volunteers:
  • Provides leadership direction, mentorship, and coaching as needed.
  • Oversees the hiring, training, certification.
  • Enables them to meet established goals and objectives.
  • Verifies that agency policies and procedures are being followed.

COMMUNICATION/INTERPERSONAL CONTACT:

  • Daily verbal or written communication with staff by direct contact, signs, or via communication books, written procedures, telephone, email, and/or in meetings.
  • Weekly written communication with staff through memos, correspondence, or notes.
  • As needed, written and verbal communication with contractors and other professional services hired for maintenance or project work.
  • Monthly written and verbal communication with the Chief Executive and Vice President teams.
  • Occasional oral or written communication with the public, Seattle Humane clients, and/or donors by direct contact or by telephone or mail.

COMPLEXITY:

A high degree of independent judgment is required. Diverse duties every week as routine can vary from day today. Must be able to process multiple requests for maintenance or facility repairs or improvements and respond accordingly. Some written procedures and guidelines help with performing the duties of the position. Needs to show good analytical, problem-solving, and project management skills.

KNOWLEDGE/EXPERIENCE/EDUCATION OR TRAINING:

  • Requires minimum seven years of building or facilities management experience.
  • Requires minimum four years of capital planning experience.
  • Requires a working knowledge of facility planning, equipment maintenance, and operation.
  • Basic knowledge of equipment operation and maintenance required.
  • Fundamental or practical experience in plumbing, HVAC, or electrical repairs required.
  • Supervisory experience required; ability to plan, anticipate and respond to requests made to the department.
  • Budget and P&L ownership experience
  • Proficiency with MS SharePoint/Office 365 suite of applications and tools, including the Microsoft Teams environment.
  • Must have excellent oral communication and good writing skills and can listen effectively.
  • Basic computer knowledge, experience with databases, Excel, and Word helpful.

LICENSES/CERTIFICATIONS REQUIRED:

  • College degree or related experience.
  • Will provide training to become certified in CPR and first aid.
  • Valid Washington State driver’s license with a good driving record.

PHYSICAL/MENTAL REQUIREMENTS:

Organizational and planning skills to determine work priorities, schedules, and time. Must be able to lift up to 60 pounds with or without accommodation. Must have good eyesight to observe facility problems or assist with projects with or without accommodation. Must pay attention to detail and maintain concentration to produce accurate work despite frequent interruptions. May involve sitting or standing at a computer, typing, and data entry. Creative problem solving and the ability to remain calm during periods of stress or emergencies required. Will apply budgeting skills to prepare department proposals, review contracts, and place correct supply orders.

WORKING CONDITIONS:

Indoor and outdoor working conditions and a general office environment (varies depending on the maintenance or capital improvement project). Exposures to potential hazards include back strain, cleaning chemicals and disinfectants, zoonotic diseases (diseases that can be transmitted from vertebrate animals to people), noise (barking, tools, equipment), potential electrical hazards, and power tool hazards.

  • Equipment Used: Office telephone, multi-line telephone system, computer, hand and power tools, printers/copiers, cash register, animal restraint pole, animal leash, Humane Society vehicles, ladders, pallet lift, and forklift.
  • Work Hours: Salaried, full-time, exempt position. Must be available during evening and/or weekend hours as well as emergency calls and alarm responses.
