Position: Executive Assistant – Finance and Operations Office
Salary Range -$65,000 – $70,000
The Watertown Public Schools provide education to preschool through twelfth grade students in three elementary schools, one middle school, and one comprehensive high school. In addition to academic programs, the Watertown Public Schools offer after school programs, summer school, enrichment programs, and numerous athletic opportunities.

Job Summary:
The Executive Assistant- Finance and Operations Office is a confidential staff member in the central office of the school department. The Executive Assistant – Finance and Opertaions Office provides administrative support to the Finance Office in all areas of department operations including but not limited to finance, food service; and transportation.
Reports To: Director of Finance & Operations
Essential Duties & Responsibilities:
- Works independently and directs his/her own work as well as work cooperatively with others to analyze complex issues and help develop solutions to serve both internal and external customers.
- Strong analytical abilities
- Prioritizes and accomplishes multiple tasks and work in an environment with frequent interruptions.
- Prepares data and creates reports/presentations as needed for budget or negotiation prep while maintaining confidentiality.
- Prepares complex correspondence, spreadsheets, presentations, and reports.
- Provides fiscal projections and budget monitoring for departments as needed.
- Provides information on a needed basis to municipal and school departments.
- Assists and supports the development and maintenance of budget documents for the Watertown Public Schools.
- Assists with the preparation and process of bid documents
- Functions as receptionist for Finance Office
- Provides administrative support for the Director of Finance including answering phone lines, written correspondence, scheduling, opening mail, and other administrative support functions.
- Works collaboratively to successfully accomplish district-wide priorities.
- Develops effective working relationships with staff, the school community, and municipal employees.
- Interacts with a wide variety of staff, parents, town officials, and the public in an effective and professional manner.
- Communicates clearly and concisely with others, both verbally and in writing
- Cross training in payroll and operations (transportation, food service, building rentals, grants, and accounts receivable/payable) as assigned and supports high volume time periods
- Performs other duties or functions as assigned by the Director of Finance & Operations
Required Qualifications:
- Bachelor’s degree required
- Proficiency required in Microsoft applications (e.g., Word, Excel, PowerPoint)
- Excellent personal and communication skills in working with school personnel and community members.
- Excellent organizational, communication, human relations, customer service and technology/computer skills.
- Demonstrates ability to manage complex/varied tasks simultaneously and with a high level of confidentiality.
- Proficient in oral and written communication skills
- Highly organized with an ability to perform detailed work accurately and efficiently within strict deadlines
Preferred Qualifications:
- Experience with financial software desirable
- Minimum of two to three years’ experience in an office environment, school district or municipal office, or a similar setting that is people centered.
- Experience in accounting and budgetary procedures
- Master’s Degree preferred
Terms of Employment: 12-month non-union Executive Assistant staff position. 40-hour work week with occasional need for additional hours.
