Annual Salary Range: $50,000 to $52,000

Position Summary

The Events Support Specialist will serve in the Office of Business Operations to support the management of the Jones Graduate School of Business (JGSB). The individual will identify event objectives and brainstorm event concepts to follow through on budgeting, planning, execution, and evaluation of a segment of JGSB events. They will develop or update administrative processes and procedures to create and promote efficiency within the organization. As a member of a small team, this individual will provide crossover support not limited to event and venue management, administrative duties, venue coordination, and communication with internal and external stakeholders.

Must be able to work weekends and evenings as assigned.

Requirements

  • Bachelor’s degree
    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year-for-year basis may be substituted
  • No experience required
  • Advanced communication and customer service skills with internal and external stakeholders
  • Ability to efficiently complete tasks in both an independent and team environment
  • Project and event management skills with attention to details, time management, setting priorities, following through and meeting deadlines
  • Demonstrated ability to use high level confidence, sound judgement, and innovative solutions to address problems in a fast-paced event environment
  • Creative, organized, and goal oriented
  • Ability to cultivate partnerships with high-level university leaders and clients

Essential Functions

  • Meets with stakeholders to plan scope and format of events, establishes and monitors budgets, and reviews administrative procedures and event progress
  • Serves as project leader on events, coordinating teams that plan, implement, and manage all aspects of the event
  • Oversees the scheduling and organization of space within Janice and Robert McNair Hall
  • Builds and maintains relationships with internal and external partners
  • Acts as a department representative at cross-departmental project meetings
  • Researches and provides recommendations for potential event locations, and evaluate alternatives
  • Provides assistance with special projects to the Events and Venue Management team
  • Performs other job duties as assigned

Preferences

  • Experience in a similar role
  • Work experience in institution of higher education that includes event planning and execution
  • Experience with Event Management System (EMS)
  • Basic accounting or budgetary management experience
