What You Will Do
These are exciting times at Gannet Fleming! Our Construction Management team is looking for an Administrative Assistant – Document Controller to join our team in New York, NY. The successful candidate will join our dynamic team, playing a crucial role in ensuring the efficient execution of various administrative tasks and supporting the seamless flow of operations. The ideal candidate will demonstrate exceptional proficiency in Microsoft Office applications and possess a keen attention to detail, ensuring that documents are meticulously prepared, formatted, edited, and proofread. This role requires an individual who thrives in a fast-paced environment and is adept at multitasking to deliver top-notch support.
Duties and Responsibilities:
- Provide document support including report preparation, formatting, editing and proofreading, and data tabulation – display advanced proficiency in Microsoft Office
- Assist in managing appointment scheduling and perform various clerical administrative tasks, contributing to the smooth functioning of daily operations
- Assist in coordinating and supporting organizational planning efforts within the industry, contributing to the team’s strategic goals
- Monitor and track the maintenance and expiration of licenses and certificates within the team, ensuring compliance and timely renewals
- Prepare and format presentations, creating visually appealing materials that effectively convey information to various stakeholders
- Collaborate in finalizing letters, documents, and reports, actively participating in report production processes, with a focus on digital mediums
- Conduct research and gather data, providing valuable insights to Assistant Project Managers and Project Managers to support decision-making
- Manage the electronic filing, uploading, and distribution of documents using Project Management Tools such as Procore, maintaining organized and accessible records
- Offer general administrative support to team members, contributing to a positive and cohesive work environment
Minimum Qualifications
- High School diploma required
- Ability to thrive in a detail-oriented, deadline-driven environment is imperative
- Strong written/verbal communication and organizational skills
- Must have the ability to work independently and within a team environment to meet deadlines
- Must have the ability to interface with all levels of personnel and management
- Excellent written, verbal and interpersonal communications skills
- Excellent knowledge of MS Word, Excel, PowerPoint and Outlook
