OVERVIEW:
To manage, supervise and coordinate the activities and operations of staff involved in providing event services for all facility events with licensees, show producers, attendees, and exhibitors; and to provide highly responsible and complex staff assistance to the General Manager, Assistant General Manager and Other Department Heads.

This role will pay a salary of $60,000 to $75,000.

Responsibilities

  • Assume management responsibility for all services and activities of the Event Services Department, including scheduling all events and services.
  • Manage and participate in the development and implementation of goals, objectives, policies, and priorities of the Event Services Department.
  • Monitor and evaluate the efficiency and effectiveness of service delivery methods and procedures; assess and monitor workload, administrative and support systems, and internal reporting relationships; identify opportunities for improvement and review with the General Manager; implement improvements.
  • Select, train, motivate and evaluate all event services personnel; provide or coordinate staff training; work with employees to correct deficiencies; implement discipline and termination procedures.
  • Exercise direct supervision over Event Managers, Event Coordinators, and Event / Security / Parking Staff
  • Supervise and assist, as needed, the Event Manager in charge of the parking staff in training and scheduling the staff for coverage of the parking lot during all events.
  • Supervise and assist, as needed, the Security Manager in training and scheduling the security staff to ensure proper coverage is provided for the facility for event and non-event days.
  • Working alongside the Director of Operations, annually update the Emergency Planning and Procedures for the venue and present the all-staff training.
  • Plan, direct, coordinate, and review the work plan for providing scheduling, liaison to clients and exhibitor services; meet with staff to identify and resolve problems; assign work activities, projects and programs; monitor workflow; review and evaluate work products, methods and procedures.
  • Conduct planning and operational meetings to ensure smooth coordination of event activities and building procedures.
  • Participate in the development and administration of the annual budget; forecast of additional funds needed for staffing, equipment, materials, and supplies; direct the monitoring of and approve expenditures; direct and implement adjustments as necessary.
  • Recommend capital improvements that will expand customer service programs and enhance the facility for event operations.
  • Act as a consultant to clients to provide information regarding facility capabilities; prepare facility for licensee use; determine specific needs; coordinate staffing materials, and equipment needs.
  • Monitor and supervise events in progress to ensure we meet and exceed service levels provided to licensee.
  • Train Event Managers on how to complete an event file accurately. Ensure event files are completed on a timely basis; verify and confirm event files prior to preparing final settlements and turning over to the Finance Department.
  • Direct liaison to the IATSE Union for the venue and client. Will work alongside the Steward of IATSE prior, during and after each event to ensure proper coverage is provided, as requested by the client, and billed accordingly. Knowledge of Microsoft Excel, understanding of show production needs, IATSE / Union policies & procedures, ability to read and understand rigging capabilities within the facility and other miscellaneous duties in relation to IATSE and shows requiring Stagehands.
  • Familiarity and knowledge of AutoCAD for event diagram design.
  • Maintain accurate and complete files, records, and other documents relating to assigned responsibilities.
  • Purchase supplies and equipment; coordinate set-up and cleaning to meet event needs.
  • Participate on a variety of committees; attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of sales and marketing.
  • Provide responsible staff assistance to the General Manager, Assistant General Manager and Director of Operations as necessary; prepare and present staff reports and other related correspondence.
  • Respond to and resolve difficult and sensitive inquiries / complaints to ensure positive guest relations.
  • Work with other Director’s to ensure continuity across all departments within the venue.
  • Interpret and apply all relevant, federal, state and local regulations.
  • Serve as Event Manager as needed.
  • Routinely serve as Manager on Duty.
  • Perform related duties and responsibilities as required.

Qualifications

  • Seven (7) years of increasingly responsible experience as an event manager in an arena, convention center, hotel or other multi-purpose public assembly facility is preferred
  • Bachelor’s degree from an accredited college or university with major course work in facility management, hospitality management, marketing, public relations, business management, or other-related field.
  • Additional years of experience may be substituted for formal education.
  • Graduate of IAVM Public Assembly Facility Management School, preferred.
  • Completion of the IAVM Trained Crowd Manager program, preferred.
  • Possession of or ability to obtain a valid CPR certificate.
  • Possession of or ability to obtain a valid state driver’s license.
  • Certified Meeting Professional (CMP) designation, preferred.

The duties of this position are performed primarily in doors and occasionally outdoors in all types of weather conditions. The noise level in the work environment is usually minimal to moderate during non-event days and moderate to loud during event days.
