The purpose of this class within the organization is to manage the upkeep of and ensure that facilities are running efficiently.
Duties and Responsibilities
- Request Portal; Share responsibilities processing Requests into Tasks received from the Cartegraph Request Portal. Up to 100 Requests per day from 600+ Request Portal Users. Enter oral and written Requests into the Cartegraph Request Portal, daily.
- Cartegraph OMS; Train and assist Administration Specialist and Asset Coordinator with questions, research, and data entry as needed for Invoices, Daily Timecards, Nonstock/Warehouse Materials, Requests, Tasks and Work Orders
- Cartegraph OMS; Update database weekly for employees, equipment, facilities. Assist Shop personnel with any issues in Cartegraph.
- Cartegraph TEST; Test daily workflow for data entry and reports and assist as needed with integration of new asset program into OMS Production.
- AiM Work Order System; maintain and search old database as requested. Asist Shop personnel with any issues in AiM.
- Petty Cash Custodian; forms, count cash, banking, yearly audit.
- Fixed Assets Custodian; Process forms to and from other custodians, verify assets with departments for Clerk’s annual inventory County-Wide.
- Back-up for PM Coordinator; Process and maintain Preventative Maintenance program for Cartegraph, and process and maintain Preventative Maintenance program for AiM.
- Back-up for Supervisor; Assist with Cartegraph Monthly Billing Reports (CIP, Damage, MAC), assist Supervisor with Annual Allocation Report.
- Back-up for Front Office Reception; Assist user in sending faxes, route faxes received. Assist user with copy machine, monitor supplies. Answer multi-line phone, forward calls, take messages, redirect as needed. Assist with Vehicle & Equipment listings (3) for division. Assist with Employee Listings (3) for division.
- Special assignments, reports, spreadsheets, as requested.
Education, Experience, Licensing
- Requires any combination of education and experience equivalent to High School graduation or GED equivalent supplemented by specialized courses/training equivalent to completion of one year of college in business, or closely related field and two years building safety, contract administration, procurement, and budget management or closely related experience.
- Possession of a valid driver’s license and acceptable driving record is required.
