About the Opportunity
The University of Denver is seeking a talented professional to join our development team as the Coordinator for the 4D Experience, Scholarships and Parent Giving team. The Coordinator contributes to the goals of the 4D Experience, Scholarships and Parent Giving team, playing a key role in generating philanthropic support for student success initiatives that are a critical component of the University’s comprehensive campaign. This role reports directly to the Executive Director of Development for the 4D Experience, Scholarships and Parent Giving and will work closely with the team’s Directors of Development on the job duties outlined below.
The Coordinator provides exceptional project management related to departmental solicitations, meetings and events, as well as coordination of data, forecasting and reporting projects that support the team in meeting its fundraising goals. The Coordinator also provides administrative support to the team, including data entry, scheduling, meeting preparation, travel planning, expense report preparation, drafting correspondence, and other special projects as deemed appropriate by the Executive Director.
This employee must be able to prioritize many competing deadlines and timelines. Attention to detail, commitment to quality, and ability to take initiative are essential to success in this position. The Coordinator must also be an effective, professional, and diplomatic liaison to a variety of audiences including University leadership, advancement staff, campus colleagues, donors, alumni, parents, vendors, and other constituents.
Essential Functions
Project Management
- Coordinate departmental communications and solicitations to various external groups, often in collaboration with colleagues across Advancement. Includes oversight of project calendars, coordinating data requests and manipulating spreadsheet data, managing vendor relationships, providing input on copy and design elements, proofreading, etc.
- Work directly and indirectly with high-capacity donors and prospects of the 4D Experience, Scholarships and Parent Giving team. Maintain a high degree of confidentiality and tact with external constituents.
- Manage administrative aspects related to the Parent Leadership Council, including tracking membership, attendance and giving, working with advancement and campus partners to coordinate meeting logistics, confirming guest speakers, and taking meeting minutes.
- Coordinate internal and external-facing departmental meetings and events. Includes management of project calendars, agendas and supporting materials, developing event briefs for leadership, and coordinating event logistics, often in collaboration with an advancement events liaison.
- Coordinate donor touchpoints including birthday greetings, personalized impact reports and interactions with beneficiaries, ensuring timely, high-quality engagement that further advances each relationship.
- Facilitate the success of the cross-functional parent data working group, to include scheduling meetings, taking minutes, and driving timely completion of meeting tasks and follow up items, thus ensuring smooth workflow related to incoming parent data, timely updates to existing parent records, and implementation of parent & family giving dashboard.
Administrative Support
- Plan and execute regular administrative processes on behalf of the team, including booking travel arrangements, preparing expense reports, and preparing donor acknowledgements. Also purchases and manages stock of DU branded gear on behalf of the team.
- Manage the Executive Director’s calendar, scheduling internal team meetings as well as those with prospects, donors, campus colleagues, consultants, vendors and others.
- Create high-quality professional reports, presentations, and other documents for internal and external audiences (for example: budget-to-actual reports, pipeline reports, prospect briefings, meeting slide decks)
- Oversee timely and consistent updates of data related to constituents, prospects, and proposal pipelines.
- Monitor departmental email accounts and provide timely and accurate correspondence and follow up to constituents.
- Occasionally support front-line gift officers in donor/prospect outreach and coordinating meetings.
University Leadership
- Serve as an active and collaborative partner to all central and unit-based advancement functions and campus colleagues to foster strategic, effective, and collaborative practices.
- Model “One DU” leadership.
Knowledge, Skills, and Abilities
- Expert user Microsoft Word, Outlook, Excel
- Knowledge of database software platforms; high level of technological proficiency required. Must be able to maintain large quantities of data accurately and efficiently.
- Excellent project management skills and working knowledge of project management software such as Asana.
- Excellent interpersonal skills, including verbal, written and organizational skills
- Exceptional attention to details, high level of organization, and commitment to quality
- Highly ethical and able to maintain confidential information.
- Adept at problem-solving, critical thinking, and using judgment in situations that that require sensitivity and tact

- Must be able to manage time well, particularly while managing competing priorities

Required Qualifications
- Bachelor’s degree or equivalent combination of education and work experience (Veterans with equivalent combination of military certification/education and experience may substitute for the degree qualification).
- 2 years of professional administrative experience.
- Project management experience.
Preferred Qualifications
- Professional administrative and/or project management experience in higher education or similarly complex nonprofit environment
- Experience working as or with professionals in development, engagement, sales, or a similar external-facing business function.
- Experience working with philanthropic volunteers, including volunteer boards/committees.

Hourly Range:
The hourly range for the position is $20.43-$25.50.
