General Purpose
Audits and enters all line extension contracts for the company, as well as other types of contracts, into P8. Performs administrative functions concerned with the systematic control of all records from creation or receipt through processing, distribution, organization, storage, & retrieval. Ensures that applicable records management standards and guidelines are met, and that the integrity of the program/process is maintained.
Responsibilities
- Audits and enters into P8 field line extension contracts after checking for accuracy.
- Picks up & delivers record boxes, files, flats, and labels for Portland area offices.
- Provides guidance to client organizations for the transfer of records to Records Management.
- Processes new boxes for storage, verifying accuracy of storage forms.
- Performs data entry into records management databases.
- Tracks flow of incoming and outgoing records boxes and files.
- Orders pickup and delivery of record boxes from the off-site vendors.
- Verifies all storage vendor deliveries and pickups.
- Responds to client requests for retrieval of boxes or files.
- Performs research in appropriate records management databases.
- Provides backup support related to supplies ordering and invoice processing.
- Interfaces daily with client organizations providing guidance and direction regarding records.
- Cross-trains with other department staff and fills in for them during absences.
Requirements
- High school diploma; or the equivalent combination of education and experience.
- A minimum of 2 years related experience.
- Must be able to lift boxes weighing up to 40 pounds on a daily basis.
- Accurate data entry skills.
- Perform research based on client requests.
- Communication and interpersonal skills including the ability to work with all levels of management and to work as a member of a team.
- Proficiency with personal computer applications including spreadsheet, database, and word.
- Able to organize and prioritize workload.
- Familiarity with standard records management practices.
- Attend required training related to job duties and coordinate training related to records management procedures to staff at all organizational levels.
Preferences
- Basic knowledge of SAP
