Bilingual Receptionist/Administrative Assistant

Contract-Hire

$16.75-$17.50 per hour

Job Functions

  • Answer, screen, and direct calls.
  • Receive, sort and distribute incoming mail and deliveries.
  • Order, receive, organize and stock general office supplies.
  • Maintain and compare best prices on office supplies.
  • Maintain office equipment including Shortel phone system and large copier.
  • Coordinate messenger and courier service.
  • Ensure all supplies are received as ordered and submit invoices to accounts payable.
  • Ensure office remains presentable to guests including rest rooms, conference rooms, Town Hall & Tasting Room.
  • Maintain office beverage dispenser machines in common areas.
  • Stock and maintain all common areas.
  • Assist with event planning and implementation.
  • Assist with preparations for meetings.
  • Facilitate monthly office and production celebrations.
  • Prepare monthly Birthday cards for employees.
  • Greet, assist and/or direct visitors.
  • Provide general office and clerical support.
  • Assist with departmental overflow for multiple departments.
  • Maintain employee application desk for walk-ins in the front lobby and production entrance.
  • Prepare shipping labels and order FedEx and UPS supplies.
  • Coordinate travel arrangements, as needed.
  • Coordinate business lunches, as needed.

Requirements:

  • Pleasant phone demeanor
  • Proficiency in Microsoft Word & Excel
  • Ability to maintain confidential information
  • Prior office and administrative experience a plus
  • Data entry and basic computer skills
  • Fluent Bilingual English – Spanish
  • High School Diploma or Equivalent
  • 2+ years office support experience
  • Self-starter
  • Organized & able to multi-task
  • Excellent Customer Service skills is essential in this position
