Assistant to the Dean (Technical Craft Specialist B)

The Technical Craft Specialist B will provide support in a wide range of roles and perform a full range of administrative and clerical duties within the Online Learning & Media Services division. Reporting to the Dean, the Technical Craft Specialist B will exercise independent judgment to resolve problems that are central to the Division.

Specific Responsibilities

  • Establish and execute administrative priorities for departmental activities based on the guidance and intent from department/division leadership.
  • Coordinate and carry out various administrative special projects, establish timelines and ensure accurate and full completion of projects in a timely and efficient manner.
  • Assist in the collection, calculation, and organization of statistical information required for Division decision-making and planning.
  • Monitor budget expenditures, process budget documents and budget adjustments and process invoices for payment.
  • Prepare, process and/or monitor a variety of forms, records, schedules, reports and other documents related to the administrative functions of the office.
  • Communicate regularly with College senior administration or their designee, and other faculty and staff, to exchange information, investigate and resolve problems.
  • Maintain calendar, make meeting/travel arrangements, coordinate presentations and provide general clerical support for the Dean.
  • Accurately prepares and reviews letters, memos, and other correspondence for the Dean and other office staff using MS Word and Excel.
  • Participate in the coordination and execution of special projects within a team setting or working independently; establish timelines and ensure accurate and full completion of projects in a timely manner.
  • Maintain databases using desktop and enterprise-wide systems, such as Banner and Excel.
  • May monitor or coordinate the activities of other classified and/or confidential staff members.
  • Supervise and train work-study students as requested.
  • Deliver quality customer service to both internal and external constituents in a professional, helpful and courteous manner.
  • Perform other duties as assigned.

Minimum Qualifications

  • High school diploma or GED equivalent required.
  • Seven (7) years of increasingly responsible administrative support experience required.
  • Computer proficiency in MS Word and Excel required.
  • Excellent math skills are required.
  • Excellent verbal and written communication skills required.
  • Experience utilizing an enterprise-wide information system required.
  • Ability to create standard and customized reports using an enterprise-wide reporting tool required.
  • Ability to work independently and within a team required.
  • Ability to perform multiple tasks with rapidly changing priorities required.
  • Strong organizational and time management skills required.
  • Ability to maintain sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological and ethnic backgrounds.

Preferred Qualifications

  • Associate’s Degree preferred. Any and all degrees must be from a recognized institutional accreditor.
  • Proficiency in Access and PowerPoint preferred.
  • Banner experience preferred.
  • Experience using Argos preferred.
