Assistant to the Dean, School of Art (71101)

The School of Art at Pratt Institute seeks exceptional applicants for the position of Assistant to the Dean of the School of Art. The selected candidate will report to the Dean of the School of Art. The position focuses on administrative, operational, and communications-based initiates as directed by the Dean. Additionally, the Assistant to the Dean will serve as the primary point of contact for the Dean in their daily activities and will coordinate relations between the school’s eight departments; individuals, departments and schools across the institute and with external parties.
Pratt’s School of Art is composed of eight diverse departments: Associate Degree Programs, Art and Design Education, Creative Arts Therapy, Creative Enterprise Leadership, Digital Arts, Film/Video, Fine Arts, and Photography. JOB RESPONSIBILITIES:

  • The Assistant to the Dean will be responsible for the management of the Dean’s appointments, and meetings, and coordinating the Dean’s schedule. Handles all dean’s telephone calls and correspondence.
  • Responsible for the day-to-day administrative duties of the office of the dean, supervision of graduate assistants and greeting visitors into the reception area.
  • Coordinate daily office activities managing interdepartmental communications, overseeing and tracking expenditures and documents, managing the Office of the Dean, including office equipment and supplies
  • Organize and maintain the School’s digital archives and documents, ensuring the preservation and confidentiality of student, faculty, and staff files. Archive documents and be responsible for their retrieval when required.
  • Maintains all report files and program documents including: curriculum proposals, revisions, accreditation, assessment reports and other academic reports. Provide support to the dean and assistant dean in generating reports, such as the school’s assessment report.
  • Assist the Dean and Assistant Dean in supporting submission of materials for faculty evaluation and promotion processes including appointments, reappointments, promotion, and tenure in accord with applicable policies and standards as well as in accordance with the faculty union collective bargaining agreement.
  • Provide support for Dean’s office events, including coordinating publicity, room scheduling, registration, catering, reservations for outside speakers, refreshments, and keeping accurate records of each event.
  • Provide administrative support for searches, including maintaining records, making travel and other arrangements, scheduling and making room reservations for campus visits, and corresponding with candidates.
  • Assist in the collection of content for all School of Art newsletters, social, media outlets, and other engagement activities as required. Manage the School of Art social media and websites and broadcasting department events internally and externally.
  • Manage communications within School, post notices, call for meetings, and call for proposals if any.
  • Keep and distribute all school meeting minutes.
  • Assist in all daily operational activities, and assume all other related duties as assigned.

Qualifications

Education:
Associate’s Degree and relevant years of experience required, Bachelor’s Degree preferred.
Experience:
Three years of related experience, or an equivalent combination of education and experience. Previous experience with a non-profit arts organization or with higher education administration is preferred.
Knowledge and Skills:
The successful candidate must have strong technology skills and the ability to use social media and digital tools to accomplish work objectives. Knowledge of Excel and Google Suite is a must. Excellent written and verbal communication skills are required to communicate effectively with faculty and administration to achieve school goals in a collegial manner while exercising discretion when necessary. Must have the ability to communicate effectively with a diverse population demonstrating cultural sensitivity.

SALARY is competitive and commensurate with experience and qualifications. Salary range for this position is $66,300 to $72,800. The position will be onsite 5 days/wk, and includes occasional evenings and weekends for special events and lectures.
