Primary Function of Position: Provides front-line customer service and administrative support to the Information Technology department.

Essential Job Functions:

  1. Provides front-line customer service to students and visitors, checks them in upon arrival, and directs them to the appropriate location.
  2. Ensures cleanliness of the lobby and reception area to provide a positive image for visitors.
  3. Answers multi-line phone, screens callers, redirects calls, and processes messages.
  4. Sorts and distributes incoming mail and packages.
  5. Coordinates service requests to ensure facilities are clean, maintained, and repaired as needed.
  6. Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and verifying receipt of supplies.
  7. Prepares communications such as emails, reports, and other correspondence.
  8. Performs various clerical duties such as copying, faxing, filing, and scanning.
  9. Coordinates service requests for vending machines including repairs, restocking, and refunds.
  10. Assists with the planning, coordination, and implementation of functions and events, including room reservations and set-up.
  11. Ability to be present on the job as described under working conditions and contract details.
  12. Other duties as assigned.

Knowledge, Skills, and Abilities:

  • Required
    • High school diploma or equivalent.
    • Strong computer skills including proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
    • Detail-oriented and highly self-motivated with strong organizational skills.
    • Ability to prioritize workload effectively while working in a time critical, high-pressure environment.
    • Ability to work independently with limited supervision and direction.
    • Ability to communicate effectively with peers, supervisors, managers, and customers both verbally and in writing within a team-oriented, collaborative environment.
  • Preferred
    • Three (3) years of administrative assistant experience.
    • Functional knowledge of the Oklahoma Career Tech system.
    • Administrative experience in an educational setting.

Working Conditions: Primary work environment is an office environment utilizing a keyboard, mouse, telephone, and other computer components. Position may involve long periods of sitting and extensive communication with internal and external customers. Candidate must have the ability to lift 10-25 lbs. Concentrated visual effort is required. Reliable, dependable and punctual attendance. This is not an exhaustive list and reasonable accommodations will be made as needed.

Organizational Relationship: Full-time, non-exempt personnel position reports directly to the Instructional Director of Information Technology.

Contract Details: Twelve month contract subject to annual renewal. Working days and hours are Monday through Friday, 7:30 a.m. – 4:00 p.m.
