The Administrative Assistant position provides administrative, faculty, and student support to a range of academic and short-term training programs in Cosmetic Arts. This position is responsible for the everyday operations and effectiveness of the office and management of student data in order to maximize student success.

Essential Duties
- Provide clerical and administrative support to the Department Chair, staff, and faculty across all areas of instruction in the Barbering and Cosmetic Arts Department.
- Assist with coordinating and maintaining systems developed for three county communications, semester schedules, contracts, book orders, and daily administrative paperwork.
- Serve as primary receptionist for Lee Cosmetic Arts. Answer, direct, and resolve all incoming calls, emails, and in-person questions from community partners, visitors, faculty, and staff.
- Coordinate front office activities and provide superior customer service to clients, students, faculty, and staff.
- Update clinic voicemail and facility signage to reflect current program information and hours of operation.
- Balance daily clinic receipts, compile copies of receipts for the department file and submit originals to the business office with cash. Maintain money bag and petty cash for Cosmetic Arts programs, and travel to the local bank to obtain change for clinical operations.
- Accept carrier shipments and send out mailed materials.
- Assist instructors with office equipment-related issues.
- Maintain student records.
- Conduct building tours as needed.
- Communicate with IT Helpdesk for any computer and overhead projector equipment failures or installs and communicate with the Business Center for all copier issues.
- Generate correspondences, memos, presentations, and meeting materials for Cosmetic Arts faculty; copy, collate, and bind when necessary.
- Arrange departmental meetings as requested and take minutes during all departmental meetings.
- Enter attendance data and grades for the Lee Main Campus Cosmetic Arts programs.
- Monitor department supplies; prepare requisitions for clinic, lab, and office supplies based on instructor order requests; and submit departmental requisitions in Etrieve and E-Procurement.
- Retrieve orders, inventory the items, and send the packing slips/invoices to accounts payable.
- Submit work orders to the plant maintenance department regarding facility maintenance needs in the Lee Cosmetic Arts facilities.
- Assist students with academic and curriculum-specific questions and concerns.
- Complete the five-hour staff development requirement.
- Serve on college committees as assigned.
- Assist with other duties as assigned.

Minimum Requirements
Required Education:
- High school diploma or equivalent
Required Knowledge, Skills, and Abilities:
- Knowledge of standard office procedures and equipment
- Proficiency in MS Office, and Google Mail/Calendar/Drive/Docs/Sheets/Forms
Preferred Requirements
- Associate degree in any discipline
- Bilingual
- Experience working in an academic environment
- Experience with Blackboard, Colleague/Datatel, and E-Procurement
