The Accounting/Purchasing Assistant will actively support the daily operations of the Procurement and Finance Department. The position will support accounting through a variety of clerical functions such as scanning and electronically filing invoices, managing certificates of insurance, and other finance administrative tasks as assigned. Business communications outside department are frequent.
Under close supervision, this position performs routine assignments of limited complexity in accordance with specific instructions and/or established procedures requiring minimal interpretation or judgment. Guidance is usually readily available. The ideal candidate will have reading, problem-solving, and communication (oral, listening and written) skills equivalent to those obtained by completing high school or commensurate experience. This position requires exposure to common office software. This position reports to the Assistant Finance Manager.
Examples of Duties
Essential Duties:
- Support the procurement and finance departments with invoice tracking and electronic processing
- Supports in inputting and updating contract management systems and other related systems in tracking contract administration and financial activities
- Assists in maintaining documents in a uniform manner in accordance with document retention schedules
- Manage certificates of insurance
- Assist in contract closeout by routing checklists, locating documentation as needed
- Generate reports
- Support documentation and processing of vendor records
- Other accounting clerical support as assigned
General Responsibilities:
Specifically, the Office Specialist series class duties include:
Administration
- Responsible for “Certificate of Insurance” documents for all contracts/IGA’s
- Maintenance of the “Certificate of Insurance” spreadsheet
- Maintain Contract files and related spreadsheets
- Verify & approve vendor invoices billed against contracts/IGA’s
- Assist with processing Public Record Requests.
- Ensure compliance of contract file documentation
- Prepare or update spreadsheets
- Customer service and interaction with the public and stakeholders
- Data entry and word processing
- Perform other duties as assigned

Working Environment: General officeenvironment, sitting, occasional lifting. This position is not considered safety sensitive. This position is Part-time, hybrid eligible, and can accommodate a full-time schedule for students currently enrolled in an undergraduate or graduate program. Generally, this position will work 24 hours a week.

Vacation Benefit
All full-time and regularly scheduled part-time employees are eligible for vacation based on the schedule below. Relevant experience prior to work at MCDD will be determined by the hiring manager. All accruals begin after the completion of 90days of employment. At the end of the Introductory Period, credit is given from the first day of employment. No vacation time may be taken or paid during the Introductory Period, unless specific arrangements have been made at the time of hire. You will earn vacation benefits according to the following schedule for full-time vacation accruals, unless otherwise determined by the Executive Director:

Sick Leave
Regular employees receive 8 hours of paid sick leave per month for full-time employment and a prorated amount for part-time employment. Temporary and seasonal employees are able to earn and utilize up to 40 hours per year of sick leave.
Family Medical Leave
In accordance with federal and state law, and the MCDD policy for medical leave, MCDD grants family and medical leave to eligible employees for certain family and medical related reasons.
