Education Team Operations Coordinator

The Immigrant Legal Resource Center (ILRC) is seeking a full-time Education Team Operations Coordinator to work in our San Francisco office. The Education Team Operations Coordinator supports the ILRC’s educational mission and plays a key coordination and logistical role in helping to carry out current and long-term strategies to uplift the organization’s capacity-building resources. As a member of the Education Team, this individual will support the current and long-term strategies within established internal structures to support the ILRC’s product offerings, including publications, seminars, webinars, recorded webinars, and technical assistance consultations.

The Education Team Operations Coordinator will report to the Senior Marketing Manager. This is a full-time, non-exempt position. The ILRC operates using a hybrid work model. All staff are required to be in the office two days per week. There are times where this position will be required to work outside standard business hours of Monday – Friday 9:00 am – 5:00 pm.

Our mission is to work with, educate, and enhance the capacity of immigrants, community organizations, and the legal sector, in order to build a democratic society that values diversity, dignity, and the rights of all people. Founded in 1979, the ILRC is regarded as one of the foremost experts on engaging immigrants and developing their leadership, providing expertise on complex issues of immigration law, procedure, and policy, and engaging in advocacy and educational initiatives on policies that affect immigrants. We are a team-based organization that makes decisions in a collaborative fashion that allows for significant staff input.

The Immigrant Legal Resource Center hosts in-person and online training events for immigration practitioners, advocates, and community members and publishes expert immigration law practice manuals for new and experienced legal practitioners. This position will play an integral part in supporting the production and promotion of our training events and publications.

Job Responsibilities: The specific duties for the Education Team Operations Coordinator include:

Training Coordination Support

  • Support in-person training planning and logistics, including researching venues, securing space, obtaining contract signatures, and proof of insurance;
  • Build and maintain a list of potential venues by region with detailed information, for future booking;
  • Manage the MCLE mailbox and support the MCLE process, including submitting applications via the State Bar of Texas portal, and create MCLE forms and online surveys;
  • Support webinar planning and logistics, including pre- and post-webinar activities;
  • Responsible for maintaining various platforms related to webinar management including, but not limited to Office365, GoToWebcast, and Google Suite;
  • Create OTFs upon request; and
  • Circulate thank you cards for signature from ILRC staff to guest/outside presenters (either print thank you or e-cards).

Publications Support

  • Conference/exhibitor support, including:
    • Print price lists, order forms, and other materials
    • Pack and coordinate shipment of materials
    • Complete material handling forms as necessary
    • Track shipments to/from venues
  • Create certificates for students of 40-hour training courses and distribute via PDF; and
  • Manage reprint permission requests from external parties.

Marketing-Related Support

  • Coordinate logistics for postcard mailings with mail house:
    • Request quote from mail house, submit invoice for payment, and coordinate mail date and delivery of postcards
  • Request postcard printing quote from print vendor;
  • Request mailing lists from third-party organizations
    • Complete and submit contracts
    • Request payment
  • Plan email announcement calendar;
  • Create email announcements for webinars using Pardot;
  • Submit request to Immigration Advocates Network to publish our webinars on their calendar; and
  • Participate in the process of removing old/obsolete webinars from our website.

Other Administrative Tasks

  • Participate in Education Team meetings;
  • Support Education Team members with additional administrative tasks as needed.

Qualifications: The qualifications for the Education Team Operations Coordinator include:

  • A minimum of five to seven years of administrative experience, including the ability manage logistics for training events and conferences;
  • Excellent communication and organizational skills;
  • Excellent problem-solving skills and ability to identify and communicate potential risks;
  • Reliable, punctual, accountable, and a good communicator;
  • Demonstrated ability to work collaboratively as part of team, to be flexible and learn new skills quickly;
  • Proficient in Microsoft Office 365 and Google Workspace;
  • Meticulous attention to detail, strong project management skills, and the ability to meet deadlines and prioritize multiple work streams;
  • An interest in immigration law and supporting the immigrant rights movement is a plus;
  • Ability to prioritize work in the face of many demands on one’s time;
  • Ability to work cooperatively with ILRC staff attorneys, administrative staff, Board, ILRC customers and vendors, and other ILRC stakeholders;
  • Ability to travel locally and domestically throughout the year as needed.

Compensation/Benefits:

Pay is commensurate with experience, with an expected range between $70,000 – $80,000 annually, for someone who is working full-time. The actual salary will be pro-rated based on hours worked.
