Position Summary
Reporting to the Director, Business & Operations and serving within the Kennedy Mountain Campus, Wellness and Recreation (KMCWR) Division, the Business Officer will provide an exceptional customer experience to all visitors of the Daniel L. Ritchie Center for Sports & Wellness through managing, monitoring, and improving the daily functions/interactions that customers will have. This includes parking, facility entry and access, transaction experience (in-person and online), facility quality, communication, safety, and servicing each customer’s needs.
The position coordinates creating, managing, and improving our processes and measuring the efficiency of our systems and procedures. This includes managing daily deposits, membership collections, invoice payment, budget reconciliation, related reporting, and more.
The position has direct oversight of the RecTrac operating system that includes the set-up, maintenance, and period end processes to ensure that all accounts are reconciled correctly. This position ensures all financials are correct by managing daily deposits, membership collections, invoice payment, budget reconciliation and related reporting.
Essential Functions
Member Services
- Set up all passes, activities, POS and related operations within the RecTrac system.
- Ensure that all member and guest accounts within the system are accurate and up to date; including, but is not limited to, household information, cancellations, transfers and billing corrections.
- Complete all month end and period end processing to ensure that the system is operating in the most effective manner.
- Maximize RecTrac/WebTrac opportunities and use of the system.
- Establish user access and associated reports within the system.
- Complete audits on each of the modules to ensure that they are operating correctly and address any staff operating errors.
- Conduct training on the system for employees as necessary.
- Serve as key liaison to Parking Services for all Department parking needs, memberships, competitive programs, youth programs and activities.
- Serves as a key liaison with Vermont Systems national office on RecTrac/WebTrac products.
Member Satisfaction & Feedback
- Develop client and customer database through website, surveys, and CRM software.
- Collect feedback about products and services, for example: ask members about their impressions; provide comment cards on site/online; send link to online survey via email; monitor online ratings and reviews from third party websites, social media.
- Respond to feedback; improve quality of products, services or staff performance.
- Identify solutions to resolve customer complaints: notify program/participant of actions to be taken; ensure that concern or complaint has been resolved.
- Take action to prevent similar occurrences in future.
Systems & Processes
- Execute all budget mechanisms to ensure they are operating at a high-level, including billing automation, online registration, and front-line processing.
- Utilize banner software to complete daily deposits to process all revenues and pay expenses.
- Transfer revenue from holding account into budgets.
- Establish purchase orders and check request reimbursements for all assigned business units.
- Ensure all invoices are paid in a timely manner.
- Complete monthly collections process for all assigned business units.
- Provide recommendations on budgetary needs.
- Enter all RecTrac programming submittals for the responsibility center and work with Vermont Systems to enhance the software functionality and performance.
- Develop and communicate all fiscal and registration deadlines to the responsibility center.
- Enter relevant information into Connect2 and MS Teams software for staff review and use.
- Project management: take complete ownership of projects; business case, scope, cost, schedule, action cycles, risks, issues, decisions, interdependencies, and milestones.
- New opportunities: explore new markets and business models through industry trends, historical trends, forward looking forecasts, competitive assessment, etc. and build/evaluate recommendations for strategic growth and monetization.
Business Procedures
- Maximize the efficiency of all business procedures.
- Document and share all standard operating procedures.
- Monitor daily operations and address potential issues that arise.
- Establish payment policies and procedures, purchase order requests, check requests.
- Work with program managers to establish calendar for activity setup submissions and deadlines.
- Build processes that meet our business and compliance objectives.
- Monitor and compile financial and key performance indicator (KPI) data, share reports and recommend solutions that will improve profitability, effectiveness, and efficiency.
- Find and pursue cost reduction opportunities.
- Coordinate with the Division and University budget administration to align our processes to the University requirements
Knowledge, Skills, and Abilities

Required Qualifications
- Bachelor’s Degree
- Minimum of 1 year work experience
- CPR; First Aid; AED; Blood Borne Pathogen; Concussion Training
- Accounting basics
Preferred Qualifications
- Master’s Degree
- Minimum of 3 years work experience
- CPR; First Aid; AED; Blood Borne Pathogen Instructor, Systems Knowledge in RecTrac, EBMS, WebTrac
Working Environment
- The position is based in an office setting, with frequent computer use.
- Unexpected interruptions occur often, and stress level is moderate to high.
- Noise level is quiet to moderate.
Physical Activities
- Ability to sit in front of a computer for an extended period.
- Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.
Work Schedule
Monday – Friday, 8:00 a.m. – 4:30 p.m.

Salary Grade Number:
The salary grade for the position is 9.
Salary Range:
The salary range for this position is $50,000 – $52,000.
